Description
The Administrative Coordinator will be responsible for providing front line administrative support for client accounts. The Coordinator will collaborate with cross-functional HDL teams to ensure all assigned projects remain on a successful trajectory throughout their life cycles, while developing and sustaining long-term, trusting relationships with our clients.
- Be a primary point of administrative support.
- Ensure the timely and successful delivery of HDL hardware according to the client's objectives by tracking performance against plans.
- Responsible for the preparation and submission of monthly reports, agendas, project presentations, and meeting minutes, including weekly teleconference minutes, and archiving all inbound and outbound communication (using MS Word, MS Excel, and/or MS PowerPoint).
- Assist with the execution of administrative tasks covering contracts (purchase orders) won, contract billings, invoicing, and collections.
- Assist with required shipping paperwork and/or forms, ensuring completed products are shipped and delivered per contractual dates.
- Support customer source inspections, customer furnished material, warranty issues and returns.
- All other tasks as assigned.
Requirements
- US Citizenship or Permanent Resident status.
- Innovative, motivated, and productive individual with exacting standards and the ability to thrive in a fast-paced environment.
- Proven organizational skills with mindfulness, and the ability to self-check, self-manage, prioritize initiatives, and work well in a team environment.
- Superior writing, listening, and verbal communication skills.
- Capable of interfacing with people across various U.S. time zones.
- Proficient with Microsoft Office suite (Word, Excel, PowerPoint).
- Experience with Microsoft Visio or Microsoft Project is a plus.
- Positive attitude and retains information well.
