Job Description

Accounting Assistance Job Description:

Will be responsible: for supporting the accounting department by performing basic clerical and data entry tasks related to financial and inventory transactions, including: recording data, maintaining financial records, processing invoices, reconciling accounts and vendors, and helping with year end tax preparation, all while ensuring accuracy and compliance with established procedures; they will work directly under the supervision of the In House Accountant/Controller.

Key responsibilities will include:

Invoice processing: Receiving, verifying, and processing invoices for payment.

Vendor reconciliation: Matching vendor statements to accounting records to ensure accuracy and accounting of purchases.

Accounts payable/receivable: Maintaining records of money owed by the company (accounts payable) and money owed to the company (accounts receivable).

Payroll support: Assisting with data entry.

General ledger maintenance: Updating the general ledger with financial transactions.

Customer and vendor communication: Answering inquiries regarding invoices and payments.
Audit and Year End Tax Prep support: Gathering necessary documentation for audits and year end tax preparation.

Required skills and qualifications:

Data entry: Recording financial transactions into accounting software, including invoices, receipts, and payments.
File maintenance: Organizing and updating financial documents and records in a filing system.
Strong attention to detail and accuracy

Proficiency in Microsoft Office Suite, especially Excel
Proficiency in Quickbooks, Quickbooks POS, and Quickbooks online.

Basic understanding of accounting principles and procedures

Ability to work independently and as part of a team

Excellent organizational skills

Good communication skills
