Job Title: Executive Assistant
We are looking for a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. As an Executive Assistant, you will be responsible for managing the daily schedules of our executives, coordinating meetings, and prioritizing commitments. The ideal candidate will thrive in a fast-paced environment, possess excellent communication and time management skills, and be able to work independently and collaboratively with others.
Responsibilities include but are not limited to:
-Calendar and Schedule Management: Strategically manage the daily schedules of executives by proactively resolving conflicts, coordinating meetings, and prioritizing commitments. Anticipate needs to ensure effective time management, enabling executives to focus on key objectives.
-Advanced Planning, Preparation, and Research: Ensure effective meetings by anticipating needs and conducting research. Prepare agendas, take detailed minutes, and confirm that all necessary resources are available. This includes coordinating preparatory calls, meetings, and logistics between leaders and teams, as well as proactively managing action items and following up independently to ensure timely completion.
-Travel and Event Management: Coordinate and manage travel arrangements; to include booking flights, securing accommodations, arranging transportation and creating itineraries. Organize, coordinate, schedule company related events, meetings, and conferences (on and offsite) and assist with company events.
-Administrative support: Act as liaison between executives and internal/external stakeholders; screen and prioritize incoming onsite visits, emails, and phone calls
-Handle confidential information with discretion and professionalism
-Must love dogs and work well with cross functional teams
-Perform other duties as assigned
Requirements:
- Bachelor's degree in Business Administration or related field preferred.
- Proven experience as an Executive Assistant or similar administrative role.
- Proficient in Microsoft Office Suite and Asana.
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills.
- Ability to work independently and collaboratively with others.
- Ability to handle confidential information with discretion and professionalism.
- Professional demeanor and appearance.
- Strong problem solving and decision making skills.
