We are seeking a highly organized and proactive Executive Assistant to support the VP, Chief of Staff, Office of the CEO. The ideal candidate will be a master of multitasking, with exceptional communication skills and an unwavering attention to detail. This position requires a high level of discretion, professionalism, and the ability to work collaboratively in a fast-paced, dynamic environment.
Primary Duties and Responsibilities:
* Performs a variety of office maintenance and administrative functions; manages schedules and business travel, maintains supplies, prepares invoices and monitors expenses/budgets, takes minutes, manages operational logistics, etc.
* Proactively establishes, refines, and documents consistent processes and procedures.
* Coordinates team meetings/committee meetings and events; prepares agenda, materials, etc.
* Prepares and provides information needed; prepares reports, collects and analyzes information, prepares presentations, etc.
* Assists in the employee experience by coordinating employee events, team communication, and onboarding/orientation to the team.
* Works on or may lead projects as requested.
* Seamlessly collaborates closely with the entire administrative team of the OCEO.
* Other team-specific duties as assigned.
* Maintains strict confidentiality in handling materials and highly sensitive information.
Requirements:
* Five or more years of Executive Assistant experience.
* Associate's degree or specialized training or equivalent experience; college degree preferred.
* Proficient in MS Office at advanced levels.
* High degree of organization and planning skills.
* Excellent written and verbal communication skills.
* Ability to apply good judgment in making independent decisions and coordinating information.
* Ability to handle and manage multiple priorities and adapt to rapidly changing needs and priorities.
* Significant comfort with ambiguity and new situations.
* Creates a positive, collaborative, and service-oriented working environment.

Pay Range - End:
$45.69
