As an Administrative Assistant, you’ll serve as the primary point of contact for all incoming phone calls and visitors at Harder Mechanical Contractors Portland Headquarters office. This role is responsible for providing administrative support and customer service to both employees and visitors. Successful candidates will demonstrate a high level of customer service skill, professionalism toward employees and visitors, and be able to problem solve and maintain composure under pressure. This position requires in-office presence from 7:30am-4:30pm and is not eligible for remote work.

What you’ll be doing:

You will be responsible for warmly greeting callers and extending a welcoming atmosphere to office visitors. You will support the Office Manager with administrative tasks and oversee of shipping and receiving operations for the office. You will play a vital role in ensuring a smooth and professional front desk operation. This is a mid-level role that provides essential administrative support to our Headquarters office.

Receptionists at H­arder perform the following daily tasks:

  • Answer incoming phone calls with a warm greeting and direct them to the appropriate point of contact
  • Screen calls for senior-level employees to manage the number of sales calls employees receive
  • Welcome and assist visitors, navigating them to where they need to go in the office
  • Assist in maintaining office security by following safety procedures and controlling access via the reception desk
  • Manage shipping/receiving packages from UPS, FedEx, and other carriers
  • Process and drop-off outgoing USPS mail once per day
  • Conduct a mid-day walk-through of the office to tidy the common areas such as kitchen, break room, and conference rooms
  • Assist with basic administrative tasks such as data entry, filing, and document preparation
  • Support the office with other clerical receptionist duties such as photo copying, faxing, and filing
  • Order food for executive meetings and office events
  • Perform end-of-day clean-up and lock-up procedure
  • Additional tasks as needed by the office  

What you will need to be successful in this role:

  • Excellent customer service skills both on the phone and in person
  • Access to reliable transportation to and from the HQ office to fulfill the 7:30am-4:30pm work hours
  • Ability to communicate with all levels of employees while inspiring respect, credibility, and integrity
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Suite (Outlook, Word, excel)
  • Ability to prioritize tasks and work independently
  • Interest in long-term stability
  • Maintain a comfort level with fluctuating office activity – extremely busy at times, and slow at other times

Education/Experience:

  • 1 – 2 years’ experience in a similar Receptionist role or Administrative Assistant position
  • High school degree or GED required
