Executive Assistance - Part Time - 20 hours per Week
Schedule: Monday - Friday 8am-12pm or 9am - 1pm

Our Administrative Service team is seeking a detail oriented Executive Assistant to join the team. This position will be responsible for performing administrative reception and office tasks, while supporting the day-to-day operations of People Incorporated's executive level staff, ensuring the efficient operation of the executive office functions. The Executive Assistant also serves as the liaison between the Administrative Management Team (AMT) and the Program Management Team (PMT).
ESSENTIAL FUNCTIONS:
Manage the multiple calendars of the Administrative Management Team and Agency conference rooms, scheduling internal and external appointments, events, meetings, and room reservations. Coordinate logistics for meetings and conference calls; create meeting agendas and coordinate presentations. Attend meetings as directed to record and distribute minutes. Assist in coordinating and executing special events and projects. Order and coordinate catering and refreshments for meetings. Manage event tickets and registration for Agency employees in a timely manner. Prepare expense reports for the Administrative Management Team's monthly expenses. Assist in completing the execution of proposals, applications, agreements, and other formal documents related to the Agency by obtaining signatures from executive level staff. Ensure that all interoffice and external correspondence in the executive office reaches the intended recipient while maintaining confidentiality. Compose and prepare professional correspondence to both internal and external audiences. Prepare Agency mailings and update contact lists. Maintain confidential corporate files and update as needed. Perform other duties as assigned QUALIFICATION REQUIREMENTS:
Associate's degree and three years of experience in an administrative support role or a satisfactory combination of education and experience Ability to maintain a high level of confidentiality Skill in secretarial/office functions, including, but not limited to, computer operations, and familiarity with office machines, such as copiers, printers, and scanners Proficiency in Adobe software, including Acrobat, and Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook with shared calendar functions Skill in communication, organization, prioritization, and working independently Strong writing and communication skills, including proofreading Effective teamwork skills to work closely with senior level management Ability to balance multiple projects and competing priorities Demonstrated professionalism in demeanor and attire that represents the executive level A friendly and positive attitude Why join our Team?
