General Description of Position:
The Bookkeeper/Accounting Clerk plays a critical role in maintaining the financial integrity of the organization by managing daily accounting operations and ensuring accurate financial record-keeping. This position is responsible for processing and reconciling financial transactions, overseeing accounts payable and receivable, and preparing payroll. Additionally, the role includes generating financial reports, assisting with budget preparation, and ensuring compliance with accounting regulations and company policies.
The Bookkeeper/Accounting Clerk is integral to supporting the accounting team, handling administrative financial tasks, and maintaining organized and accessible financial records. This dual-role position combines the precision of bookkeeping with the versatility of accounting clerk duties to streamline financial processes and contribute to the overall financial health of the organization.
Key Responsibilities
Financial Record Management
- Accurately maintain the general ledger by recording all financial transactions, including purchases, sales, payments, and receipts.
- Regularly reconcile accounts such as accounts payable, accounts receivable, and bank statements to ensure data accuracy and integrity.
- Monitor and resolve discrepancies in financial records, maintaining consistency with internal controls and audit standards.
Transaction Processing
- Process and verify invoices and payments to ensure timely and accurate transactions.
- Manage vendor and customer accounts, including handling inquiries, disputes, and overdue balances.
- Assist in month-end and year-end closing processes, ensuring all transactions are recorded and reported accurately.
Financial Reporting
- Prepare financial statements, including profit and loss statements, balance sheets, and cash flow reports, to provide insight into organizational performance.
- Support budget preparation and forecasting by providing accurate historical data and trends.
- Generate and analyze financial reports to identify trends, variances, and opportunities for process improvement.
Compliance and Audit Support
- Ensure compliance with federal, state, and local financial regulations, including tax filings and reporting requirements.
Bookkeeper/Accounting Clerk
- Assist in the preparation and coordination of audits by providing necessary financial documentation and explanations.
- Develop and maintain organized financial documentation for compliance and reference purposes.
Operational Support
- Collaborate with cross-functional teams to provide financial insights and recommendations.
- Identify inefficiencies in financial processes and propose solutions to improve accuracy and efficiency.
- Support leadership with ad-hoc financial analysis and special projects.
Qualifications
- Education & Certification: Associate's or Bachelor's degree in Accounting, Finance, or related field required
- Experience: Minimum of 3 years of experience in bookkeeping, accounting, or related roles with a demonstrated history of handling complex financial operations.
- Technical Proficiency: Advanced knowledge of QuickBooks and Microsoft Office Suite, particularly Excel. Familiarity with accounting standards (GAAP/IFRS) and tax regulations.
Skills and Competencies:
- Exceptional attention to detail and accuracy.
- Strong problem-solving and analytical skills, with the ability to interpret financial data and provide actionable insights.
- Effective communication skills for liaising with internal teams, external stakeholders, and regulatory bodies.
- Excellent organizational and time-management skills to meet deadlines in a fast-paced environment.
