We are in search of an Executive Assistant to join our team. The role is based in Little Canada, Minnesota, and is crucial to our operations in the real estate industry. This position offers a contract to permanent employment opportunity and involves a blend of administrative and strategic responsibilities.


Responsibilities:

• Efficiently manage the CEO's calendar, ensuring optimal organization and time management.

• Facilitate effective communication via email, ensuring clarity and professionalism in all correspondence.

• Oversee administrative operations in the front office, contributing to smooth day-to-day functions.

• Support the CEO with various tasks, including document management, and updating checklists.

• Utilize Microsoft Office Suite and SharePoint for document creation, record keeping, and data management.

• Handle phone communications with excellent etiquette, providing information and resolving inquiries.

• Participate in conference calls as needed, ensuring clear and concise communication.

• Review and understand real estate leases and other related documents.

• Contribute to the team's knowledge of residential real estate, sharing insights and expertise.

• Proficiency in Calendar Management is required, with the ability to schedule and organize meetings, appointments, and events effectively.
• Excellent Communication skills are a must, both written and verbal, to facilitate clear interactions with executives, staff, and external contacts.
• Experience in handling Conference Calls, including scheduling, set up, and follow-up actions.
• Ability to manage Correspondence efficiently, including drafting letters, emails, and other business documents.
• Familiarity with Microsoft Outlook and its features, such as email management, calendar scheduling, and task organization.
• Competency in using Microsoft Office Suites, including Word, Excel, and PowerPoint, for various administrative tasks.
• Proficiency in Email Communications, with the ability to draft, edit, and send detail-oriented emails.
• Experience in Email Correspondence, with a focus on timely responses and maintaining a well-organized inbox.
• An understanding of Phone Etiquette, including courteous and detail-oriented telephone manners.
• Knowledge of the Real Estate - Residential sector would be an advantage, with an understanding of industry operations and regulations.
• Familiarity with Residential property management, including handling property-related issues, liaising with property owners, and understanding property contracts.
