Duties/Responsibilities:
- Work directly with the Executives to support all aspects of their daily work routine
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
- Sustain a daily calendar of meetings and events.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
- Draft and prepare correspondence for internal announcements, client communications, and organizations that the executive is involved with.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours.
- Serves as the executive proxy in meetings and committees as needed, using discretion, confidentiality, and good judgment.
- Represent the company and the Executives in a positive light through great follow-through skills and sound judgment.
- Conserve the Executives' time by reading, researching, collecting and analyzing information as needed, in advance.
- Serve as a liaison between the Executives, and staff and the public. This includes managing the Executives' email and phone calls, answering a variety of questions with tact and diplomacy, taking messages, and triaging calls and emails appropriately for resolution.
- Coordinate work with other company staff as needed; play a key role in the coordination of staff efforts both within and outside the Division.
- Lead, provide coordination, monitor, and communicate the status of projects and programs.
- Determine priority of matters of attention for the Executives; redirect matters to staff to handle, or handle matters personally, as appropriate.
- Routinely perform a wide variety of support duties.
- Attend meetings and take notes as requested; prepare the initial draft of minutes and summaries.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Must be a quick learner who is self-directed and self-motivated.
- Strong critical thinking and problem solving skills.
- Extremely organized with great attention to detail.
- Proficient in Microsoft Office Suite, Google Workplace or related software program.
- Ability to adapt to change.
- Ability to negotiate and settle differences quickly and peacefully.
- Ability to act as a team player.
- Flexible hours as dictated by the needs of business for projects and meetings.
- Ability to travel to include occasional overnight or multi-day trips as needed to support the needs of the business.
Education and Experience:
- Bachelors degree in Medical System, Histology, Information Technology, Business, or related field required.
- At least five years of related experience.
