Job Summary

As an Executive Assistant at Harpers Pharmacy, Inc., you will be responsible for providing high-level administrative support to one or more Executive(s)/Officer(s) at AmeriPharma. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will be responsible for facilitating operative and seamless facilitation of communication, managing schedules, written correspondence/email management, and ensuring smooth functioning/operations for and on behalf of the Executive and/or the Executive team.


Duties and Responsibilities

  • Manage and coordinate complex calendars, scheduling meetings, appointments, and travel arrangements for executives.
  • Prepare and organize documents, reports, and presentations for meetings.
  • Act as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Assist in project management, tracking deadlines, and ensuring timely completion of tasks.
  • Handle correspondence, including emails, phone calls, and mail, prioritizing responses and actions as needed.
  • Maintain and organize files and records, both digital and physical, ensuring easy retrieval and compliance with company policies.
  • Conduct research and compile information to support decision-making processes.
  • Assist with event planning and coordination for company meetings and functions.
  • Perform other administrative tasks as required to support the executive team.


Required Qualifications

  • 4+years of experience as an executive/administrative assistant, secretary or in a similar administrative role.
  • Excellent verbal and written communication skills, with the ability to interact professionally with executives, staff, and external partners.
  • Understanding of and commitment to maintaining and actively assisting in enforcement of maintenance of confidentiality (ex. proprietary information, business/trade secrets, business plans, financial information, employee/contractor/affiliate identity, patient/client information, meeting details, etc. in accordance with HIPAA, HITECH, the terms of the Organizations Confidentiality Agreements/NDAs (as required to be signed for employment),and other applicable regulations, including, but not limited to, the policies, standards, requirements, and regulations provided/updated throughout employment within confidentiality training/education/policies/agreements and more.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Professional demeanor: A professional demeanor, in both appearance and communication.
  • Cultural knowledge: Knowledge of international or cultural differences.


Education and Experience Requirements

  • Bachelor's degree in Business Administration, Healthcare Administration, Communications, Legal, or related fields.
  • Demonstrates commitment to ethical practices and integrity in all professional integrations.
  • Maintain a professional demeanor in both appearance and communication, fostering a respectful and positive workplaces atmosphere.


Preferred Qualifications

  • Experience in a healthcare setting or familiarity with healthcare operations.
  • Certification as a Professional Administrative Assistant(PAA)or similar credential.
  • Multilingual.
