JOB SUMMARY

Under the supervision of the Police Department Logistics Manager, this position will perform primarily administrative work with heavy Microsoft Suite usage, related to the police department vehicles, equipment and any services used to oversee and maintain the department's vehicle fleet. Performs administrative and technical work in the procurement of police vehicle related supplies. Performs related work as required, issues and receives departmental vehicle equipment and purchases, and manages inventories.

ESSENTIAL FUNCTIONS
  1. Assists with the purchasing process for the police department (PD). Plans, organizes, and coordinates the acquisition, storage, and issuance of police vehicle supplies/equipment.
  2. Performs inventory for all vehicle related safety equipment and supplies in order to plan ahead for the department's needs.
  3. Serves as one of the (face-to-face) fleet liaisons with City Procurement, the City's contracted fleet repair and service facility, and City vehicle vendors.
  4. Reviews and processes vehicle related expenditure requests and invoices.
  5. Obtains quotes for police vehicle equipment and supplies.
  6. Distributes vehicle safety equipment required to outfit police vehicles for personnel.
  7. Conducts vehicle inspections for unassigned/pool vehicles.
  8. Completes inspections of all newly acquired vehicles and equipment purchased for the police department.
  9. Transports police department vehicles for various reasons (i.e. repairs, equipment up-fitting, graphics installation and transfer to City Surplus).
  10. Assists in the monitoring and reviewing of police department vehicle damage and/or accident repairs.
  11. Engraves all vehicle keys/fobs and maintains the secured master key storage.
  12. Replenishes on-site car wash supplies.
  13. Assists with the receiving of department deliveries.
  14. Assists with radio equipment requests, as needed.
  15. Assists coordinating work orders for PD facilities, as needed.
  16. Performs general administrative/office duties as required, including but not limited to attending meetings, preparing reports, copying, and filing documents, entering computer data, reviewing mail, etc.
  17. Performs related duties as required, including some minor lifting.
REQUIREMENTS

Training and Experience:
  1. High school diploma or GED.
  2. One (1) year of experience working in a law enforcement agency is preferred.
  3. One (1) year of work experience in using police vehicles and emergency equipment is preferred.
  4. Two (2) years of work experience in purchasing, inventory maintenance, or related areas, providing the requisite knowledge and skills in the maintenance of stock and inventory, as well as the forecasting of supply needs is preferred.
  5. Proficient with standard Microsoft Office suites (e.g. Microsoft Word, Excel, others as needed). Ability to learn additional inventory software.
  6. Strong clerical and organizational skills.
  7. Ability to multitask.
  8. Ability to work as part of a team and independently.
  9. Ability to communicate effectively in English, to include both written and oral.
Knowledge:
  1. Knowledge of the purchasing practices, methods, and procedures employed in the acquisition, storage, issuance of supplies, material, and equipment. Familiarity with police equipment is preferred
  2. Ability to make decisions and interpretations in accordance with established rules, policies, and procedures.
  3. Ability to coordinate and manage tasks.
  4. Ability to use judgment and initiative in making recommendations and resolving problems related to police vehicles and emergency equipment.
  5. Ability to establish procedures and controls to ensure accuracy of clerical and financial records, supply transactions, and inventories.
  6. Ability to establish and maintain effective working relationships with employees, department officials, vendors, contractors, and the general public.
  7. Ability to read a variety of reports, maintenance records, memorandums, etc. Requires the ability to prepare written correspondence, reports, forms, etc., using prescribed formats and proper grammar.
  8. Proper telephone communication techniques and procedures.
Physical Requirements:
  1. Verbal, auditory, and written capabilities to effectively communicate in an articulate manner, in English.
  2. Clarity of vision at varying distances to perform various work assignments.
  3. Standing and walking for extended periods of time.
  4. Dexterity of hands and fingers to operate a variety of specialized tools and equipment. Reaching overhead, above the shoulders, and horizontally.
  5. Occasional bending, kneeling, or crouching. Lifting, carrying, pushing, and pulling object(s) weighing up to 75 pounds.
  6. Ability to lift and move potentially heavy and/or bulky boxes and vehicle equipment (e.g. fire extinguishers, flares, cases of water, etc.).
  7. Able to work outside.
  8. Safely operate a vehicle and possess a valid Florida Driver's License.
