Job Summary
As a member of the Academic Human Resource team, the HR Specialist is the subject matter expert on key academic lifecycle process. Serves as a trusted resource for college business units on intermediate to advanced HR processes, including but not limited to faculty recruitment, postings, search workflows, and personnel action forms (e-forms). This role adheres to established policies and procedures while maintaining high confidentiality and professionalism.
Essential Duties and Responsibilities

Serves as the primary point of contact to designated business units to review, analyze and finalize high-volume faculty posting requests utilizing the University’s ATS platform (PeopleAdmin) including review of applicants to ensure compliance with EEO guidelines.

Responsible for processing and approving high-volume academic personnel action forms (eForms) for assigned business units ensuring data accuracy and timely completion of all transactions in accordance with university policies and procedures.

Responsible for reviewing and preparing Tenure, Tenure-Track, and Academic Professional Track hiring proposal documents for Provost Office approval. Collaborate with college business units to track progress of requests for assigned units—Dean’s Office, department chairs, and academic leadership to ensure accurate and timely submission.

Manage high-volume Academic HR shared inboxes; addressing and troubleshooting routine and complex FAQs and issues related to the academic personnel life-cycle processes. Ensures inboxes are coded to the appropriate team member within an appropriate timeframe.

Serves as the primary point of contact to provide guidance on all faculty search workflows and troubleshoots complex issues for department admins, hiring managers, search committee chairs, search committee members, reference providers, and job applicants.

Responsible for maintaining faculty personnel records database, department contacts and PeopleAdmin user permission lists. Document and maintain associated internal and external forms and written standard operating procedures. Research and prepare data reports.

Collaborate with Provost Office and Academic HR leadership to identify potential patterns, trends, recommendations, and bring concerns forward for consideration to ensure compliance with HOP and Regents Rules.

Minimum Qualifications
Bachelor’s degree in human resources administration or a related field, and two (2) years of relevant work experience, or six (6) years equivalent combination of education and related experience.
Preferred Qualifications

Familiarity with current federal and state laws, pertaining to human resources

Four years of relevant work experience.

Experience working within higher education faculty, academic and professional positions.

Knowledge of academic personnel life-cycle and Human Resources functions.

Experience working with PeopleAdmin or similar ATS systems.

Experience working with Personal Action Forms (e-forms) or similar transactional processes.

Advanced customer service delivery and procedures and practices.

Familiarity with current federal and state laws, pertaining to human resources.
