Flyspace Productions is a full-service, woman-owned event management and production company. We produce some of the largest festivals and live events in the region, in addition to numerous private, corporate, and community events. We provide our clients with support from a full-service, in-house Production Department that provides technical equipment including concert audio, lighting, truss, and rigging, as well as the largest fleet of Stageline Mobile Stages on the East Coast. Our Creative Department provides exceptional expertise in festival production, event planning, brand activations, and fine art installation.
We are seeking a full-time Event Manager to work within our Event Services Team. This role is responsible for operational support of special events and projects such as parties, galas, meetings, classes; assisting with venue management; and assisting with various processes in the office throughout the year. The Event Manager will report to the Director of Events.
Job Responsibilities and Requirements:
Event Coordination:
- On-Site Event Coordination: Managing the on-site implementation of a specific event to ensure that it is set up, operating, and struck efficiently and effectively. This will also include coordinating crew, staff, equipment, vendors, etc. and serving as a liaison with our clients to ensure the best possible experience.
- Crew Management: The Event Manager will directly supervise, manage, and direct the hourly staff scheduled during special events. This role will include scheduling, planning work, coordinating necessary equipment, coordinating necessary fleet resources, on-site management and direction of staff, and reporting.
- Event Planning: The Event Manager will assist the Event Services Manager with the planning, preparation, execution, and wrap up of special events and projects including assisting with coordinating vendors and contractors, equipment ordering, permitting, creation of layouts and maps, coordinating hospitality, creating and updating paperwork, scheduling, advancing, research, as well as other duties as assigned.
- Client and Vendor Contact: The Event Manager will interact with clients and vendors on behalf of the company and will be expected to do so with the utmost professionalism. This may include pre-event meetings and coordination, on-site direction and coordination, and post event reporting or wrap up.
- Administration: Provide administrative support for events, including finance tracking, invoicing, reporting, and documentation of activities. Assisting with the wrap up of each event including final invoice receipt and confirmation, show reporting, and client reporting as necessary.
- Set Up/Tear Down: Responsible for the physical set up, operation, and tear down of event equipment including such items as tables, chairs, linens, audio, video, lighting, etc. The Event Manager may occasionally work with artists and other creatives and professionals to install their work. This position will require the ability to lift, carry, use of hands, climb, reach, sit, and stand. This position may occasionally be required to operate technical equipment such as audio, lighting, projection, etc.
- Scheduling: Using the scheduling software to be sure that all necessary shifts are published for employees and confirming time worked as needed.
- Organization: Assistance to keep the office organized, running efficiently, and usable for the entire team.
- Venue Scheduling: Using scheduling software to book spaces and venues as needed for clients and users
- Bachelor's degree in events, hospitality, theater management, or management, or three years of experience in related field.
- Management experience in theater, events, or hospitality related industry.
- Ability to adapt in different situations and engage in creative thinking to overcome challenges.
- Ability to work independently and collaboratively in a fast paced, and sometimes stressful, rapidly changing environment
- Ability to manage multiple, simultaneous projects and work assignments.
- Willing to work in a flexible schedule that may include long hours and irregular times, including weekends and holidays.
- Understanding of the artistic process and the ability to work closely with clients, including artists and designers, in a diplomatic and professional manner.
- Excellent interpersonal and communication skills and the ability to maintain and establish positive client relationships.
- Excellent leadership and the ability to effectively manage a team and work well within a close management team.
- Excellent organizational skills and the ability to clearly communicate any systems or organizational structures to other members of the team or staff.
- Advanced computer skills. Additional skills in Adobe Illustrator a plus. Use of online computer programs will be required.
- Technical theater, sound, lighting, rigging, or presentation and AV experience knowledge a plus.
- Valid driver's license required and the ability to safely operate a personal or company owned vehicle. Ability to tow a trailer or operate a larger vehicle, such as a truck, a plus.
This is a full-time, exempt position. Flyspace provides for a competitive pay range that is commensurate with experience.
