Description
The Manager of Special Events is responsible for the planning and logistics management of AKF's national virtual camp, staff events, and supporting the Boston Pairings for Prevention and New York Golf Tournament. This position will work closely with the Director of Special Events and the Director of Peer-to-Peer Fundraising on these events. This position will be required to be in person at the office in Rockville, MD on average, once a week.

Requirements
Bachelor's Degree or equivalent experience. Must have a minimum of 2-3 years of demonstrated experience and success in event management. Must have experience hosting virtual events. Experience interacting with children under the age of 16, and 1-2 years of fundraising experience is a plus.
Must be highly organized, detail-oriented, and able to handle multiple projects simultaneously. Strong project management abilities including decision-making and judgment skills and an innate sense of pace and urgency. Be able to anticipate, plan, prioritize and react to changing needs and situations with professionalism, integrity and diplomacy. Excellent written, verbal and interpersonal skills, including a positive disposition, ability to work in a collaborative, team environment, while proactively pursuing individual portfolio. Ability to handle confidential matters with a high level of integrity. Interest in or experience in the health and patient-sector environment preferred. Proficiency in MS Office Suite (Excel, Word, Outlook, and PowerPoint), Zoom, and fundraising database software (Raisers Edge, Convio, or similar software). Ability to work some weekends and evenings as required. Some travel required.
AKF offers a hybrid work schedule with employees working in the office 1-4 days per month and telework the rest of the time.

ESSENTIAL FUNCTIONS:
National Virtual Camp
- Responsible for the creation and management of all monthly activities for the national virtual camp and tracking of camper registration, including the quarterly cystinosis camp. Additionally, the Manager will work in collaboration with the Director of Special Events and the Director of Peer-to-Peer to fundraise for camp support. Examples of camp logistics include:
- Hosting monthly virtual camps on Zoom
- Research monthly activities and companies to partner with for activities
- Order, pack, and ship activity kits to approximately 200 campers each month
- Track expenses and manage budget
- Communicate with all participating families & facilities
- In collaboration with the Human Resources and the Quality Work Environment group, host annual employee engagements, including the employee appreciation lunch, staff picnic, and holiday party. In collaboration with the Director of Peer-to-Peer, facilitate and support the annual staff fundraising campaign. Examples of employee event engagement logistics include:
- Solicit RFPs from outside vendors for events, including venues and catering
- Plan and executive monthly meetings with internal staff
- Track expense budget and ensure accurate invoicing throughout the event planning and execution process
- Assist with management of all event collateral and other program elements within established deadlines
- Assist with setting up staff fundraising pages on our peer-to-peer fundraising platform, Classy
- In collaboration with the Director of Special Events, support in the planning and execution of AKF's fundraising events, Boston Pairings for Prevention and the New York Golf Tournament. Examples of these responsibilities include:
- Responsible for sponsor fulfillment of benefits such as collecting ads, guest names, and sending invoices
- Assist on development and production of all event collateral, website content and other program elements within established deadlines
- Attend meetings related to events and interact with each event's volunteer committee
- Manage on-event staffing assignments, including the management and training of internal and external volunteers
- Track event budget and ensure accurate invoicing and accounting throughout the event planning and execution process
- Fully participate in event-day execution and on-site management
