Overview

Emerald is seeking a Conference Coordinator to join our team. The Conference Coordinator supports the Conference Management team in all aspects of conference management, including speaker logistics, travel logistics, onsite needs, and vendor support.

To find success in this position, candidates must demonstrate effective time management, the ability to juggle multiple projects with concurrent deadlines, and communicate proactively and effectively with both internal and external partners. The Conference Coordinator must be able to quickly identify and adapt to challenges by displaying a cool, calm demeanor and the ability to find answers and create solutions with limited direction.

This position will be required to report daily into our Alpharetta office

Responsibilities

  • Collect speaker information, contracts, bios and photos for use in marketing materials
  • Create and maintain speaker database for each event to include contact/badge info, AV and housing requirements and other special requests
  • Assist with coordination of speaker travel including air and hotel reservations
  • Keep conference websites up-to-date with speakers and session information including speaker's bio, headshots and company information
  • Provide assistance to conference management in proofing conference brochures, show directories and signage
  • Assist conference management in development, distribution and analysis of speaker evaluations
  • Send out call for presentations, assisting potential speakers with any challenges with their submissions, and share submissions with education partner for review and session selection
  • Work closely with conference management in CEU process including submitting CEU certificates and completing accreditation process
  • Work with conference management to prepare conference shipments by securing on-site supplies and other conference related items
  • Assist with on-site execution and management of events as assigned
  • Assist with various projects as assigned by Operations leadership
Qualifications
  • 1-3 years of experience (conference, events, hospitality, or fundraising experience preferred)
  • Knowledge and understanding of meeting and event planning principles, requirements, and procedures.
  • Strong organizational skills, and ability to work with minimal direction in a fast-paced environment.
  • Excellent time management skills
  • Strong interpersonal, communication, and organizational skills.
  • Proficiency in the Microsoft Office Suite. Ability to learn new software packages quickly.

COMPENSATION & BENEFITS

Target Compensation: 50,000-55,000

Please note that this range reflects a reasonable estimate of the target compensation for this position. This range may ultimately vary based on a candidate's qualifications and may be higher where required by applicable law.
