We are looking for an Executive Assistant to join our mission in creating a #CyberFit future. This role will report directly to the Chief Human Resources Officer (CHRO) and also support the Chief Information Security Officer (CISO).

As the Executive Assistant, you'll be at the center of fast-paced activity, using your superior organizational, project, and time management skills to support these senior executives. It is critical that you use discretion and confidentiality working with sensitive information and key stakeholders across the organization. The ideal candidate is a master of logistics planning, has the ability to anticipate needs, incredible attention to detail, and flawless execution of multiple priorities.

Our CHRO & CISO are based in the Greater Boston Area and will need onsite support in our Burlington, MA office 2-3 days per week. You will partner and collaborate directly with other executives and assistants across Acronis globally on a regular basis.

WHAT YOU'LL DO

Calendar and Scheduling Management:

Oversee and manage the executive's complex calendar, scheduling and coordinating meetings across multiple calendars and time zones. Adjust schedules as needed to accommodate dynamic changes Travel Coordination:

Arrange all aspects of business travel including flights, hotels, transportation, visas, and permits. Develop and execute detailed travel itineraries with a focus on high-quality standards and logistical efficiency Documentation and Communication:

Handle routine correspondence and inquiries with precision. Communicate with executives, managers and other across all levels of the organization while maintaining professionalism, tact and diplomacy in all interactions. Utilize business software applications (e.g., Word, PowerPoint, Excel, etc.) to prepare and format correspondence, reports, presentations, agendas, and minutes Meeting and Event Logistics:

Plan and coordinate logistics for meetings and events, including agenda preparation, food and beverage arrangements, and on-site management Strategic Initiatives:

Lead and support strategic initiatives by coordinating with various departments to ensure projects are executed on time and within scope Legal and Contractual Support:

Liaise with the legal department to review and manage contracts, non-disclosure agreements (NDAs), and other legal documents as needed Financial Collaboration:

Collaborate with the finance team to monitor budgets, track expenses, and manage financial reporting. Assist with purchase requisitions, invoice processing, and timely payments Human Resources Collaboration:

Partner with HR on recruiting, onboarding, and maintaining employee records to support organizational growth and compliance WHAT YOU BRING

5+ years of proven experience as an Executive Assistant, preferably within a fast-paced and global environment. Experience within the cybersecurity industry a plus but not required University degree preferred Exceptional organizational skills with the ability to manage multiple priorities simultaneously Discretion and confidentiality in handling sensitive information Superior problem-solving skills and the ability to work independently Ability to work collaboratively across all departments and levels of the organization, and with external partners Strong written and verbal communication in English, with attention to detail Proficiency in Microsoft 365: PowerPoint, Excel, Word, OneNote, Teams and Cloud-based document management (e.g., Google Workspace, Microsoft OneDrive) Familiarity with the following systems will be considered as advantage: Workday, Alchemer (ex-SurveyGizmo), Survey Sparrow, SAP Concur, Camtasia, Atlassian products: JIRA, Confluence, Tableau
