Senior Administrative Assistant Job Description

This hybrid position supports Senior Leadership and general operations of Massey Comprehensive Cancer Center, reporting to the Director of Executive Scheduling.

The general responsibilities of this position are as follows:

• Provide high-level administrative support to senior leadership across the organization and is a key member of the administrative team

• Manage complex calendars, including coordinating meetings and confidential correspondences

• Ensure a smooth workflow by independently managing administrative tasks with high degree of organization and attention to detail

• Collaborates effectively with colleagues on interdepartmental tasks and events

• Provides logistical administrative support through planning out travel and speaking engagement events

• Act as a primary point of contact for internal and external stakeholders

• Handles telephone calls and requests, mail services, office supplies and other duties

• Essential duties in room reservations for meetings, meeting minutes and documentation of outcomes from meetings

• Order office supplies, food purchases, etc. in an appropriate and proactive way and manage all special purchases using the eVA procurement system and a university purchasing card

• Monitor expenditures using a detailed tracking system to ensure spending is within budgetary constraints and resolve any issues in a timely manner

• Operates office in an efficient manner and other relevant duties as assigned

Qualifications

Minimum Hiring Standards

  • 2-4 years experience as an Administrative Assistant with prior experience supporting senior leaders in healthcare, academic, government, and non-profit organizational settings
  • Associates degree in Business Administration, Office Administration or related field
  • Commitment to fostering a diverse faculty, staff, and student environment
  • Strong interpersonal and written/verbal communication skills, with a passion for supporting diverse communities
  • Proficiency in Microsoft Office software (eg Excel, Word, PowerPoint); experience with project management software is preferred
  • Strong organizational and time management skills
  • Strong analytical/decision-making skills
  • Ability to handle confidential information discreetly
  • Must be self-motivated with the ability to work both independently and as a team member
  • Ability to work on-call weekends and evening events as applicable

Preferred Bachelor's degree from an accredited university or college or equivalent experience
