Title: Administrative Assistant Role Title: Administrative and Office Specialist II Hiring Range: Commensurate with Education and Experience up to $45,000 Pay Band: 2 Agency: Virginia State University Location: Virginia State University Agency Website: www.vsu.edu Recruitment Type: General Public - G Job Duties Position will provide administrative and clerical support to the Dean of the Reginald F. Lewis College of Business; maintain paper and electronic office files; will review documents for the Dean's signature; will collect information and data for all relevant reports submitted to Dean to include the college's budget; will help coordinate special college events; will screen telephone calls; greet and assist internal and external visitors; will prepare reports, letters, and correspondence as directed by the Dean; assist Dean and staff with their administrative requests; respect the confidentiality of sensitive, personal and private information and work to ensure that such information is not communicated to any unauthorized personnel outside of the college; will order office supplies, furniture, and equipment; will prepare and process travel requisitions, invoices, and purchase orders; will plan departmental meetings, retreats, workshops, and conferences; will conduct independent research and report findings to the Dean; will supervise student workers; will manage and maintain the Dean's calendar and department website; assist college's student organizations, faculty and academic advisors with event planning, report preparation and maintenance of organizational files; will take and maintain minutes of college and assigned committee meetings; and assist committee chair with the preparation of required reports. Minimum Qualifications Office management skills including typing, filing, inventory management and requisition and purchase procedures; ability to communicate and interact effectively with various constituents of the college working knowledge of office practices, office equipment and office procedures; ability to supervise student employees; experience as receptionist and/or office experience; training in dealing with angry/frustrated people; working knowledge of relevant computer software and systems used for managing student records and college's requisitions and purchases. Additional Considerations Bachelors Degree Preferred along with experience in higher education. Must have knowledge and experience using Microsoft Office Suite, i.e., MS Word, Excel, PowerPoint, and Outlook is required. Must have the ability to communicate and interact effectively with various constituents of the university; must have working knowledge of office practices, office equipment and office procedures are required.
