General Schedule Position typically works Monday-Friday from 8am-5pm in-office at UCO's main campus in Edmond, Oklahoma. Position Overview This position provides secretarial and administrative support for one or several department professionals or offices. Responsible for the functioning of an office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents. May be responsible for departmental budget; managing calendars and appointments; event and meeting planning. Job Duties Provide office assistance to the department chairperson and faculty. Act as the initial department contact for student-related situations and/or incidents including inquires, complaints, and problems, and assist in resolving them. Greet and assist office visitors. Answer the telephone, answer questions and/or refer calls to proper persons and take messages as needed. Handle incoming and outgoing mail. Act as a liaison between the department and other offices on campus. Distribute information to faculty and students. Prepare documents and forms. Maintain department files for official records. Assist the department chairperson with managing the department budget. Make purchases and maintain proper records of transactions. Assist in the preparation of the class schedule. Enter and/or monitor data for budget, payroll, class schedule, and enrollment. Assist with the hiring and onboarding of new faculty and student employees. Supervise student employees. Organize and assist with department events. Attend department and administrative meetings as directed by the chairperson. Other tasks as needed. Qualifications/Experience Required: General education or vocational training and 2 years' relevant experience or equivalent combination of education and experience. Qualifications Preferred: Experience in customer service, office management, and bookkeeping. Experience with these computer programs: Microsoft Office 365, Banner, Paycom, and Concur (travel software). Experience in an educational environment. Knowledge/Skills/Abilities: Knowledge of basic office procedures and practices. Demonstrate a professional, service-oriented attitude. Be organized with an attention for detail. Be able to prioritize multiple tasks and meet deadlines. Be literate in computer usage and word processing, including Word and Excel, and able to learn new software. Be able to accurately type. Be able to operate office equipment. Have excellent telephone and email etiquette. Be able to communicate effectively and work well with others. Be self-motivated. Have good supervisory skills.
