The Director, Enrollment Services is the leader in strategic management of student enrollment and program management at Boston University Study Abroad (BUSA), a study abroad provider serving 2,500+ students a year. The Director has primary responsibility for the design and implementation of a comprehensive enrollment management plan, providing strategic direction and leadership for the 17.0-person comprehensive Enrollment Services team that is responsible for developing and implementing a marketing/outreach strategy, ensuring successful and efficient outreach and admissions processes, student retention, pre-departure preparation, production of recruitment and retention material, and all non-academic policies regarding a student’s participation in an abroad program. The Director, Enrollment Services participates in the strategic planning process for BUSA, is a member of the executive team for BUSA reporting to the Executive Director, and participates in Study Abroad advisory meetings under the leadership of the Vice President/Associate Provost for Global Programs.
Key Responsibilities/Essential Job Functions:
Essential Function 1: [25%]
- Develop and assess a comprehensive enrollment management plan including all aspects of recruiting and external institutional relations strategy and implementation, admissions, student advising, enrollment services and program management in support of broader institutional goals for Study Abroad, in close collaboration with executive staff responsible for finance and administration, academics, and health and safety. Explore ways to leverage university resources and established best practices in support of enrollment services at Study Abroad. Serve as a member of the BUSA executive team and advise on enrollment services issues, in collaboration with enrollment services leadership team. Provide continuous feedback to senior management team and the University on outreach and enrollment objectives and progress made in meeting them. Provides analysis on enrollment trends in collaboration with enrollment services staff, institutional relations team as we as BU Institutional Research. Develop and monitor metrics to measure success, in collaboration with GP data analyst.
Essential Function 2: [25%]
- Lead a combined staff of 17.0 professionals responsible for all aspects of outreach and recruiting, admissions, student advising, enrollment services (registration, student records and systems, billing, financial aid, grading), program management, post-decision preparation including visa application process management, incoming exchange student admissions and support and re-entry. Directly supervise two Associate Directors and two Assistant Directors; set goals and direction for the entire combined enrollment services team in accordance with fulfillment of strategic enrollment plan, University initiatives and Global Programs priorities. Hire new staff and coordinate training, review and evaluate work for effectiveness, accuracy and adherence to Global Programs and University policies. Offer advice and assistance as needed and identify professional development opportunities to support enrollment objectives and overarching goals.
Essential Function 3: [15%]
- Work closely with BUSA and Global Programs leadership and key university officials to interpret and implement university policies and federal regulations as they apply to Study Abroad; set internal policies and procedures related to all enrollment matters outlined above. Evaluate need for and develop policies around critical issues such as mental health, disability services and medical data collection, storage and dissemination; student data security and appropriate information sharing; application requirements and admissions decision criteria; standardization of on-site enrollment and withdrawal procedures, and many others. Serve as a liaison between BUSA and key university offices including Disability Services, Student Health Services, Financial Aid, Newbury Center, and others, and ensure effective dissemination of information to the enrollment services team and beyond. Serve as a member of the on-call Safety Management Team for all Study Abroad sites.
Essential Function 4: [15%]
- In collaboration with the Executive Director, the BUSA Associate Director of Academics, and professional advising staff at the various BU Schools and Colleges, oversee comprehensive efforts to reach and advise prospective and enrolled students; develop and implement guidelines and training for all staff responsible for various phases (general, program-specific) in student advising. In addition, coordinate the work of the Associate Director, Institutional Relations and Campus Outreach to ensure appropriate model for training and scheduling of recruiting duties for the enrollment services team. Review and adjust based on staff availability to support advising, and assess success in relation to student outcomes. Ensure the accurate and timely dissemination of information concerning admissions and enrollment to staff, students, and the wider public.
Essential Function 5: [10%]
- Oversee the evaluation of all communications related to combined Enrollment Services, including marketing materials; assess effectiveness of publications, enrollment related web-content, post-decision content, and pre-departure meeting materials in consideration of the most up-to-date delivery methods that meet the information needs of specific audiences, including non-BU audiences. Assess technical needs of the Enrollment Services team as well as overseas sites with responsibility for maintaining the integrity of student records e.g. where reviewing medical information.
Essential Function 6: [10%]
- Financial: Work with Finance and Administration team in recommending tuition, fees, and refund policies. Review student petitions for exceptions to refund policy and make recommendations to BU central administration regarding cancellation or retention of charges in consideration of on-campus practices and the unique financial obligations associated with Study Abroad. Oversee internal grant and scholarship budget, evaluate awarding practices and assess effectiveness of awarding program on retention goals; explore potential leveraging of funds for increasing enrollments; consider student appeals and grant exceptions as appropriate.
Required Skills:
- Master’s Degree or equivalent in education, business administration or related field preferred
- Demonstrated ability for strategic thinking and planning, as well as understanding of admissions processes
- Understanding of marketing concepts and strategic enrollment planning in a University environment desirable
- Expertise and experience in working with computerized and financial data systems
- Knowledge of federal, state, and institutional financial aid programs and the role that financial aid plays in increasing student recruitment and retention
- Excellent interpersonal, communication and presentation skills, across multiple constituencies
- Familiarity with professional organizations such as the Forum on Education Abroad and NAFSA membership/understanding of the resources helpful
- Minimum of seven to ten years of enrollment services experience in higher education with a preference for at least three of those being in study abroad and five to seven years of staff management experience.
- Ability to set and monitor priorities to meet deadlines, and with ability to champion innovation and act with urgency in service to Boston University’s vision and mission
