Learn more about us at https://learn4life.org/edgewood/ How You Will Make an Impact The Clerical Assistant provides clerical support to the administrative office of the Principal with bookkeeping, reports, surveys, documents and administration with daily clerical and all program activities. This position works under direct and general supervision. Assist with financial data, reports and finances for program and administration Process purchase orders, including working with vendors on the ordering, shipping, and receiving of school purchased items\. Perform typing, data entry, report preparation, document preparation and general clerical documentation Aid the principal in completing paperwork, data entry, organizational tasks as assigned Process booking requirements for the program and administration Receive incoming calls to include message delivery promptly and accurately Maintain filing system and update files on a consistent basis Research, identify and understand federal, state and District policies and regulations Type basic letters, forms, labels, and memos utilizing computer software and typewriter Disseminate mail Assist the PEIMS Specialist in related data entry for students enrolling in the program or school Assist in monitoring and proctoring student assignment and tests Perform clerical tasks for teachers as needed, to include coordination, scheduling of and participation in meetings when requested Assist PEIMS Specialist in contacting parents or adult students and assists in retrieving required forms Aid the educator in rendering additional attention or data collection for particular students Provide assistance with program implementation and support maintenance efforts such as student transportation, guest speakers, career fairs, field trips, etc. Ensure confidentiality of all information Adhere to attendance policies Administrative duties, responsibilities, and activities may be assigned or changed from time to time Perform other duties as assigned Qualifications SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC: Proficiency skills in typing, word processing, file maintenance and all clerical duties Proficiency in Word, Excel, Data Entry and basic math Must have strong telephone skills and etiquette Must be proficient in English both written and verbal Must have ability to maintain organization of office filing systems and projects Verbal and written communication skills Ability to work with diverse youth populations Ability to collaborate with various people to support student learning and development MINIMUM QUALIFICATIONS: High School diploma or GED Must have completed Fifteen (15) college hours or Two (2) years demonstrated mid-level clerical experience Experience working with students Experience working with low economic and at-risk populations Experience in the education of individuals with exceptional needs Proficient in MS Office (Word, Excel, Outlook) Preferred Requirements: Three (3) to five (5) years of clerical office experience in a school environment or similar Bilingual (English/Spanish) TRAVEL: Ability and willingness to travel in performance of job duties if necessary. PHYSICAL REQUIREMENTS: Mental Demands: Ability to handle multiple competing projects and assignments Finger Dexterity: using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together Speech clarity, oral expression; written expression, talking; especially where one must convey detailed or important instructions or ideas accurately, loudly, or quickly Average Hearing: able to hear average or normal conversations and receive ordinary information Average Visual Abilities: ordinary acuity necessary to prepare or inspect documents or operate machinery Physical Strength: sedentary work. Exerts up to 10 lbs. of force occasionally (almost all office jobs) Frequent multi-tasking, changing of task priorities, repetitious exacting work required Working in a noisy, distracting environment with frequent deadline pressures
