Overview
As a Commercial Assistant Property Manager, you will play a key role in supporting the day-to-day operations and management of commercial properties under our portfolio. Working closely with the Property Manager, you will assist in maintaining property standards, tenant relationships, and administrative tasks to ensure smooth operations and tenant satisfaction.
Responsibilities
Tenant Relations
Assist in fostering positive tenant relationships by addressing inquiries, concerns, and maintenance requests promptly and professionally.
Coordinate communication between tenants and property management to ensure a high level of tenant satisfaction.
Assist in conducting tenant meetings, inspections, and addressing lease-related matters.
Property Maintenance and Operations
Assist in overseeing property maintenance, repairs, and renovations to ensure properties are well-maintained and compliant with safety standards.
Collaborate with maintenance staff, contractors, and vendors to schedule and oversee work orders and projects.
Conduct regular property inspections to identify maintenance needs and address issues proactively.
Financial Management
Support the preparation of annual budgets, monthly financial reports, and variance analyses.
Assist with accounts payable/receivable and tenant billing processes, ensuring timely collections and payments.
Track property expenses and identify cost-saving opportunities.
Administrative Support/Accounting
Assist in maintaining accurate property records, including leases, contracts, and tenant information.
Support financial operations by collecting and processing rent payments, managing budgets, and coordinating with accounting teams.
Prepare reports, presentations, and documentation related to property management activities.
Lease Administration
Support lease administration by assisting in lease abstracting, and ensuring compliance with lease terms.
Assist in monitoring lease expirations and coordinating lease documentation as necessary.
Qualifications
Successful candidate will possess a two-year or four-year degree or equivalent experience.
Previous experience in commercial property management or related real estate field is advantageous.
Strong organizational and multitasking abilities with attention to detail.
Excellent communication skills, both written and verbal, to effectively interact with tenants, vendors, and team members.
Proficiency in Microsoft Office Suite.
Ability to work collaboratively in a fast-paced environment and adapt to changing priorities.
Detail-oriented, proactive, able to multitask, and team-oriented with a client-first attitude.
