Our long-term client, offering psychotherapy and psychological assessment services, is in need of an entry level
Administrative Assistant
to join their team. This is a part-time role, 16 hours per week, flexible schedule, preferred workdays are Monday, Tuesday or Wednesday. This is a long term contract position with the possibility of temp-to-hire down the road. What you will do: Provide administrative support to several doctoral training programs Manage general office including checking voicemail, distributing mail, watering plants, directing visitors, restocking office and kitchen supplies, and maintaining a clean office environment Coordinate with property management and outside vendors for all building related services and issues Ensure proper operation of office equipment by completing preventive maintenance requirements, scheduling repairs, providing technical assistance, and maintaining equipment supply inventories Provide staff and students with basic technical assistance, as needed Perform chart audits to confirm all client consent forms, session notes, and billing statements are up to date and on file Monitor accounts receivable system through Square to ensure students are billing and receiving payments per clinical guidelines Drafting, editing, or assembling documents like spreadsheets, letters, PowerPoints, surveys, forms and listservs Assist with managing communication platforms for staff and students including encrypted email, Google Voice phone numbers, voicemail, and Zoom What we are looking for: High school diploma or equivalent Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Strong written and verbal communication Excellent organizational and time-management skills Previous office or clerical experience is a plus Friendly demeanor, ability to work collaboratively, and professionalism Attention to detail, ability to multitask, and willingness to learn
