Accounting Assistant- Accounts Payable (Part-Time)



Under the direction of the Manager of Accounts Payable, performs a variety of responsibilities, such as reconciling general and subsidiary ledgers, accounts payable, and cash disbursements (expenditures, student refunds, etc.). Provides general administrative support for the department. Performs other related responsibilities as assigned.

POSITION SUMMARY:


Responsibilities include but are not limited to:

  • Verifies transfers and totals for monthly expenses in all accounts and prepares journal entries as appropriate.
  • Performs account analysis and maintenance and assists with preparation and reconciliation of 1098/1099’s on a yearly basis.
  • Prepares schedules and provides assistance for the annual audit.
  • Reviews disbursement documents submitted for approval signature/s, appropriate sales tax, IRS reimbursement compliance, and compliance with federal, state, and college policies, procedures, and regulations.
  • Receives, counts, balances, and posts financial transactions to proper accounts and ledgers; enters inventory, financial and statistical data to proper account; adjust accounts as needed.
  • Coordinates vendor payments, resolves discrepancies, ensures timely payment of vendor invoices and expense vouchers, and maintains accurate records and controls.
  • Provides excellent service to the college community in the processing of all accounts payable disbursements, from data entry to check production or direct deposit transmission.
  • Prepares and receives accounting reports related to cash receipts, expenditures, accounts payable and receivable, and profit and loss and inspects accounts payable register to ensure accuracy.
  • Reconciles accounts and records general ledger entries on a daily basis; reconciles voided checks on a monthly basis.
  • Verifies receipt of goods delivered to validate invoices received/submitted for payment.
  • Communicates with colleagues in the college to resolve discrepancies regarding calculations, financial and statistical recordkeeping; verifies accuracy of financial and numerical data and follows-up on issues of inaccuracy and discrepancy.
  • Provides general office support and orders office supplies for the department.
  • Performs additional tasks or duties as assigned by the Manager of Accounts Payable or other designated management


SPECIAL SKILLS AND QUALIFICATIONS

Education: Associate's Bachelor’s Degree in Business

Experience: Minimum of 2 years of experience in accounts payable, accounts receivable, general accounting or related field; experience in higher education preferred.



Knowledge, Skills and Abilities:


  • Demonstrates understanding of the community college mission and practices an open door policy;
  • Knowledge of accounting methods and procedures, IRS 1099 reporting requirements and record keeping related to accounts payable;
  • Demonstrates skill to work with a variety of computer software, database management, and other software applications;
  • Exhibits strong skills in communication, customer and student focus, building relationships, organizing, and planning.


Hourly Rate for this position will be between $23 and $25 an hour
