The Executive Administrative Assistant will play a vital role in supporting executive operations by handling administrative tasks, managing office functions, and providing excellent front-facing communication with visitors and callers. The ideal candidate is proficient in Microsoft Office, professional, and able to handle multiple responsibilities in a fast-paced environment.


Responsibilities:
  • Mail Merge & Data Management: Perform mail merges, data entry, and use basic formulas and calculations in Excel.

  • Document Preparation: Assist in typing and formatting documents in Word and PowerPoint.

  • Phone Coverage: Answer the main phone line (15-20 calls per day), providing professional and friendly communication.

  • Guest Reception: Greet and assist guests upon arrival, ensuring a welcoming environment.

  • Office Events Support: Assist in planning, coordinating, ordering supplies, and cleaning up for various office events.

  • Mail & Packages: Deliver packages and collect mail regularly.

  • Office Maintenance: Tidy up and organize office spaces as needed.

  • General Administrative Tasks: Perform additional administrative duties and tasks as assigned by the Executive Assistant.


Qualifications:
  • Experience: 2+ years of administrative support experience, preferably in a corporate or executive environment.

  • Education: High school diploma or equivalent; associate’s or bachelor’s degree is a plus.

  • Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

    • Proficient in Mail Merge function

    • Strong organizational and time-management skills.

    • Excellent verbal and written communication.

    • Ability to multitask and prioritize tasks effectively.

    • Professional demeanor and positive attitude.

  • Attributes:

    • Detail-oriented and proactive.

    • Friendly and approachable with strong interpersonal skills.

    • Ability to handle confidential information with discretion.



Pay Details: $20.00 to $24.00 per hour
