GZA GeoEnvironmental, Inc. (GZA) is seeking an

Administrative Assistant

in our

Manhattan, NY

office. This position will involve working for multiple Principals, Project Managers, Technical Staff, and the District Office Manager. Work may vary daily as there are multiple needs throughout the week/month to maintain a successful and growing operation. The successful candidate will be comfortable working in a fast-paced, in-office environment. A high level of professionalism, cooperation, and interpersonal communication skills are crucial in this role.

Primary Responsibilities will be to perform administrative support tasks that are secretarial/ or clerical in nature. This includes:

Front desk reception. Processing of filing, mail distribution, and assisting Principals and Project Managers with project management tasks such as opening projects, communications, data entry and other special projects as assigned. Provide support to the technical staff in the maintenance of project files; preparation of correspondence, proposals and reports. Contract administration: generating project submittals, distributing paperwork, permits and reporting. Responsible for making travel arrangements, coordinating meetings and small events and providing phone/reception coverage. Basic knowledge and operation of office equipment, including printers, copier, scanner and facsimile. Office maintenance and managing office supplies. Vendors, petty cash, invoice approvals, recoveries, repairs, coordination with building.Purchasing, stocking, organizing materials and supplies for office. Communication and distribution of information between the Manhattan office, Melville office, corporate departments and other office, as required. GZA emphasizes a One Company environment, and as a member of our team, you may be asked to assist on projects and tasks outside of your primary responsibilities. Key Requirements:

Able to set up and manage a hard copy or electronic filing system. Able to organize one or multiple hard copy or electronic calendars. Experience with coordinating travel arrangements. Comfortable supporting multiple team members and interacting with internal and external clients. Shows understanding that considerable judgment and discretion is often needed in completing work assignments. Excellent interpersonal and customer service skills. Strong verbal written communication skills. Excellent attention to detail. Ability to maintain confidentiality. Able to use prudent judgment, maintain flexibility in changing directives. Ability to lift 25 lbs. Notary (or ability to obtain Notary within first 90 days of employment). Has a 'can do' attitude in learning new skills. Has a strong sense of teamwork. Adaptable to changing circumstances. Specific Skills & Experience :

Associates Degree plus 2 years office support experience or High School Diploma plus 4 years of experience. Able to create documents in MS Office (i.e. Word, Excel, etc.). Knows how to access and navigate through electronic databases, the Internet and e-mail systems. Experience with database software (MS Access) and/or presentation packages (MS PowerPoint) would be a plus. Availability to work Monday through Friday and some evenings.

The base salary range for this position is $56,000 - $66,000 depending on experience and capabilities which will be assessed during the interview process.
