The Opportunity This role will support the VP of our Integrated Customer Experience Org, which is going through a transformation of merging our direct sales and customer experiences organizations. Thus, is a fast-paced environment that requires a high degree of organization skills, timely and effective written and verbal communication, and process orientation. This individual will be based out of our San Jose office. Qualifications & Work Style: Experience supporting global executives at high levels; ability to learn the VP and what is important to their success; understand the rhythm and always maintains three steps ahead of the VP. Experience interacting with customers and staff at all levels in a fast-paced, high-pressured environment, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. Exceedingly well organized and detail-oriented; enjoys the administrative challenges of supporting a VP and team. Ability to handle frequent interruptions, change priorities, and remain flexible, continually improves the administrative process for great efficiency. Experience in project management dealing in multiple tasks, timelines, and deadlines. Highly proficient in analysis and problem-solving skills. Expert-level writing and verbal communications skills; strong judgment and decision-making skills. Excellent calendar management skills, including coordination of complex executive meetings; experience scheduling travel arrangements. High level of trust, discretion, drive ownership. Ability to synthesize information and create reports. EA has "ear-to-the-ground" among staff and can sense morale issues if they arise. Be a team player, able to work on own initiative in a dynamic and challenging environment. Ability to demonstrate initiative and honed organizational skills. Strong knowledge of MS Office skills - Word, Excel, Outlook, Microsoft Teams, and PowerPoint. Previous experience supporting a Sales Leader is a strong plus. Previous experience supporting a Global organization is a strong plus. Job Responsibilities / Office Operations: Act as the proxy for the VP; sets tone of the office, maintains the VP image, and is able to speak on behalf of and represent them in multiple issues and subjects; exhibits superb discretion. Manage a warm, welcoming office environment and keep the VP informed of organizational issues, potential concerns, and/or conflicts. Heavy calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive meetings. Being able to shift and reprioritize with the constantly changing demands. Arrange and coordinate business travel and adapt quickly to changes in travel plans and requirements. Plan, coordinate, and execute all types of meetings and events. Compose correspondence and reports. Edit PowerPoint presentations and email communications as appropriate. Help develop staff meeting minutes and keep a list of action items. Research and analyze data within the context of a project, departmental needs, or company direction and make recommendations for improvements. Handle multiple tasks, switch priorities, and focus as needed. Track department initiatives and projects including purchase order accruals, preparations, and other confidential matters. Manage the planning and forecasting of budgets (monitor expenses against budget, personal) and identify corrective actions. Accurate and timely handling of expense reports. Any other support tasks which are not listed above. Team/Leadership Skills: Ensure that the VP is maintaining adequate visibility with key stakeholders. Run periodic errands to purchase recognition gifts, arrange for events as needed, etc. Create collaborative processes with other administrative personnel to optimize cross-unit functions. Build effective and inclusive relationships with personnel at a variety of levels. Provide guidance to other employees regarding new methods, assignments, or procedures. Suggest relevant process improvements. Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this position is $71,600 -- $155,900 annually. Pay within this range varies by work location and may also depend on job-related knowledge, skills, and experience. At Adobe, for sales roles starting salaries are expressed as total target compensation (TTC = base + commission), and short-term incentives are in the form of sales commission plans.
