Elementary School Administrative Assistant Cimarron-Ensign USD 102 • www.cimarronschools.net/ Building Administrative Assistant Purpose Statement The job of Administrative Elementary Secretary- is done for the purposes of providing administrative and secretarial support to assigned school site administrators; monitoring assigned activities; and providing information, recommendations, and/or direction as may be requested by the assigned administrator. This job reports to the Elementary Principal Essential Functions and performance Responsibilities Possess clerical skills of typing, filing, bookkeeping, mail sorting, computer skills and telephone. Maintain a record of parties entering and exiting the building, and be available for the doorbell throughout the school day. Collects payments for a variety of events (lunch accounts, pre-school fees, fundraisers, and school events, etc.) for the purpose of completing transactions and/or securing funds. Composes a variety of documents (school events, programs, bulletins, reports, and reminders etc.) for the purpose of communicating information via social media, school website or mail. Prepares a wide variety of reports, documents, and correspondence of a confidential and non-confidential nature (e.g. letters, memorandums, charts, purchase orders, handbooks) for the purpose of documenting activities, providing written reference, and/or conveying information. Type letters or make reports, prepare transcripts and post semester grades on permanent records. Responds to a variety of inquiries from a variety of parties (staff, parents, students, public agencies, etc.) for the purpose of providing information or direction and/or facilitating communication among parties. Communicates enrollment information to all appropriate district personnel for the purpose of ensuring professional and efficient communication. Greets new students and their families for the purpose of assisting with the enrollment process, assigning school, responding to questions, and/or directing to appropriate personnel. Inputs data into the student information system Power School (student record updates, attendance, scheduling, progress reports and report cards, rostering students into learning programs, etc) Keep KIDS information up to date and accurate on all students and complete appropriate reports Have records available for audit. Handle food service functions such as completing milk counts and lunch counts and distributing lunch and milk receipts. All funds received will be accounted for and turned over to the Board Clerk. All information concerning free and reduced lunches should be kept confidential. Keep information concerning students, staff members and school business confidential. Call and organize substitute teachers using the ROVER system during and outside of school hours. Close out books monthly and prepare them for the fiscal year audit. Work as a team with other administrative assistant and staff. Other duties as assigned consistent with his/her competence as the Board may assign. Physical requirements/ Environmental Conditions Requires prolonged sitting or standing. Requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials Requires stooping, bending and reaching Must work in a crowded environment Benefits Information 5 Personal days per year with no carry over 11 sick days accumulative up to 70. Benefits with USD 102 are optional 10 months Salary Information $14.00-$16.00 per hour depending on experience Employer Information As of November 2024, Cimarron Junior High and Senior High School serve approximately 260 students in grades 7-12, and the Elementary School serves approximately 310 in grades PreK-6. In addition, USD 102 has teachers and a full complement of support of classified staff. USD 102`s calendar is tremendously family-friendly. The school has one week off at Thanksgiving and Spring Break and two weeks at Christmas. The calendar allows for family trips and visits without missing work. USD 102`s ACT scores are equal to or better than the state average. The school has one of the lowest chronic absenteeism rates in Kansas, signifying that students love to attend USD 102. USD 102 has a long history of hiring local talent, and over 30% of its teachers are alumni of USD 102. USD 102 will open the Bluejay First Flight Daycare Program in January 2025. This program is designed to offer daycare at an affordable rate to teachers, helping with recruitment and retention. USD 102 will open the Bluejays After Hours in January 2025. This after-school program is designed to help parents with a later pick-up time. USD 102 is a member of the Southwest Plains Regional Service Center (SWPRSC) and the Southwest Kansas Area Cooperative District 613 (SKACD 613). Teachers receive professional development through SWPRSC, while special education students are served via the SKACD organization. We believe we have the best students and facilities in Kansas.
