The Department of Microbiology has an outstanding opportunity for a

part-time 50% Graduate Program Advisor

position. The Graduate Program Adviser (GPA) reports to the Director of the Department of Microbiology. The primary role of this position is to manage the Microbiology graduate program operations. These duties involve strategic planning and require a high level of tact and professionalism, excellent communication skills, and the ability to maintain and protect confidential student records. All academic advising needs to be in line with mission and vision of the Department’s Graduate Program Advisory Committee (GPAC), often times requiring the Committee’s approval for specific milestones and decisions. Open, regular and good communication with the GPAC is essential for the success in this position.

DUTIES AND RESPONSIBILITIES

(60%) Current Graduate Student Progress Management and Advising:

Ensure timely and reliable scheduling and coordination of grad-level MICROM and CONJ courses.

Providing guidance to graduate students concerning lab rotations, courses, campus choices, resources, graduate school/GO-MAP events, and funding resources.

Under the direction of the Graduate Program Advisory Committee, manage student progress and monitor benchmarks for degree candidacy (topics exam, general exam).

Counseling students who meet the requirements to exit the program with either a Master’s degree or PhD on administrative process logistics.

Manage and generate quarterly tuition disbursements for graduate students.

(30%) Graduate Student Recruitment, Program Analysis and Coordination:

Liaise with Academic Counselor and Graduate Admissions Committee to coordinate annual Grad Student Recruitment applications (typically 215-280) and format for faculty review.

Perform recruitment and conduct outreach for graduate admissions cycle (On campus grad fair, SACNAS, other related events), including new grad admissions, new lab assignments and orientation for new graduate students.

Develop and maintain Graduate student records and web pages to optimize access to services and events and ensure effective program evaluation and reporting practices.

(10%) Graduate Program Events Coordination:

Manage expenditures and coordinate logistics associated with: o The annual graduate program recruitment o Graduate hooding ceremony o Annual new graduate student orientation o Annual graduate student “welcome” events.

Other events throughout the year involving the Microbiology graduate program.

When needed, attend conferences to staff a booth for the Microbiology graduate program.

Other duties as assigned.

MINIMUM REQUIREMENTS

Bachelor's Degree in Education; business; administration or related field.

Three years of related work experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS

Demonstrated experience with program coordination and best practices.

Excellent written and verbal communication skills.

Demonstrated ability to work independently, problem solve, take initiative, set priorities, and handle multiple projects efficiently and effectively.

Proven experience working in a deadline-driven environment.

DESIRED QUALIFICATIONS

Experience counseling/advising students in academic settings.

Experience working with Student Data Base (SDB).
