The Chief Data Officer of the Fred Hutchinson Cancer Center, Jeff Leek, established the Fred Hutch Data Science Lab (DaSL), which aims to develop and support the overall data strategy for the organization. The mission of the DaSL to ensure an effective data ecosystem at Fred Hutch by developing a modern, well documented, well implemented, overall data strategy. This should serve the needs and capabilities of those leveraging data at Fred Hutch regardless of "where they live" from the clinic to the research groups. This position serves as the
Executive Assistant to the VP/CDO
as well as providing support to the Deputy CDO and Data Science Partnership Director as needed. This position requires excellent communication skills and an aptitude for cross-discipline collaborative work with external partners, internal administrative departments, researchers, and staff. A successful candidate will be detail oriented, hold confidentiality, and be highly flexible and adaptable to changing schedules and situation, hold a positive and collegial attitude and approach to all aspects of the position with the ability to be firm when needed and invisible when needed. This position is based in Seattle, on campus full time with the occasional exception. Responsibilities Provide administrative support to the Data Office Leadership (VP/CDO and as needed, Deputy CDO and Data Science Partnership Director), including scheduling and coordinating internal and external meetings and events (preparing agendas and materials), and providing extensive and complex calendar support. This includes incorporation of necessary materials into meeting event invites, such as agendas, supporting documentation and communication of context prior to meetings. At these meetings and information gathered outside of these meeting, it is vitally important that this position hold appropriate confidentiality requiring careful judgment. Manage all travel arrangements for the Data Office Leadership Process Data Office Leadership, travel reimbursements, check requests, and ProCards Manage confidential and sensitive information with a high level of discretion Ability and willingness to effectively communicate asynchronously with the Data Office Leadership Event planning and management Manage calendars, agendas, events, and travel in response to changing priorities Coordinate with the Data Office Leadership, to support prioritization of email and meetings, including occasionally responding on their behalf, delegating emails to others, and assessing priority levels of scheduling requests. Document management, taking and managing meeting notes, and follow up on action items and next steps Assertively protect the time of Data Office Leadership Interact with internal and external partners Qualifications
MINIMUM QUALIFICATIONS: Undergraduate degree or equivalent experience. Minimum of 5+ years' experience in multifaceted administrative support/management. Advanced proficiency across the Microsoft Office Suite. Experience with virtual meeting platforms such as Zoom and MS Teams. Experience learning new software/technologies to successfully perform assigned tasks. Experience in roles requiring organization and strong attention to detail. Experience in meeting coordination, scheduling, and planning. Ability to work independently and proactively plan and problem-solve while meeting deadlines. Aptitude for working in collaborative team environments with strong relationship building skills. Curiosity and proactive learning mindset. Strong verbal and written communication skills. PREFERRED QUALIFICATIONS: Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment. Experience in managing executive calendars and communications. Solid background in planning travel, itineraries and meeting agendas. Excellent communication skills - ability to communicate clearly and concisely with executives, faculty and staff of all levels as well as external high-level professionals, their staff and vendors; ability to draft communications to all levels of staff. Experience in short form and asynchronous communication (such as slack messages). Experience as Executive Assistant to senior leadership.
