Events & Conferences is a division of Auxiliary Services responsible for the coordination of University-wide events, room scheduling of University events, management of the summer conference operations, management of a campus arts venue, and the coordination of non-University conferences and events throughout the year. Our mission is to support the academic enterprise of a vibrant research institution by providing comprehensive service and event planning resources at an exceptional value to campus departments and external clients. We are seeking a Reservations & Events Specialist to join our team. Reporting to the Assistant Director of Reservations & Events, this position serves as the front-line point of contact for inquiries and requests from University customers for the scheduling of campus venues.
Responsibilities
Respond to inquiries via scheduling system, webform, email, and phone Provide guidance on venue selection, event needs, campus services, and cost estimates Create and modify campus space reservation requests in scheduling system Manage a small portfolio of events from inquiry to financial reconciliation Provide a diagramming service for event layouts to University customers Perform various financial and administrative functions related to the scheduling of campus venues Manage and collaborate with student employees Required Skills
Bachelor's degree One to three years of relevant experience in customer service or hospitality Excellent interpersonal and communication skills Ability to remain calm and positive under pressure and to deal effectively and diplomatically with a variety of constituencies Ability to analyze and anticipate customer needs and suggest viable options while maximizing utilization of available venues and services Willing to work evenings and weekends for events, client meetings, or site visits Demonstrated commitment to diversity, equity, and inclusion Experience using 25Live and Social Tables is preferred Valid Driver's License and knowledge of Boston University is preferred A cover letter is required for consideration. _We are an equal opportunity employer, and all qualified applicants will receive consideration for employment without regard to race, color, natural or protective hairstyle, religion, sex, age, national origin, physical or mental disability, sexual orientation, gender identity, genetic information, military service, pregnancy or pregnancy-related condition, or because of marital, parental, or veteran status.
