Job Description - Executive Staff Assistant MGB Department of Urology (3310828) The Executive Assistant manages the affairs of the Office of the Chair of the Mass General Brigham Department of Urology, which includes the Chair as well as the Executive Administrator. The Executive Assistant provides high-level and confidential administrative support. Given that the Executive Assistant often serves as the public/business face of the Chair and interacts with senior levels of executive leadership, a high level of confidentiality and discretion is essential. PRINCIPAL DUTIES AND RESPONSIBILITIES: Office of the Chair of the Department of Urology Proactively anticipates and independently manages all direct administrative services to Chair and Executive Administrator. Exercises judgment in responding to inquiries while maintaining confidentiality. Develops and maintains effective working relationships with departmental and hospital administration, faculty, trainees, and staff. Communication Develops effective methods of communicating with departmental and hospital leadership. Answers telephones and processes mail using sound judgment. Administration Composes, types, prepares, and distributes documents/presentations/analyses. Coordinates and executes monthly Urology Department Faculty Meetings. Manages various administrative/financial processes. Coordinates Chair’s travel and prepares necessary travel paperwork. Maintains files of hospital and managed care plan credentialing documents. Recruitment: Faculty/Surgeons/Principal Investigators Streamlines faculty recruitment process. Develops a plan for each role to be recruited. Manages approval and posting of ads to relevant job boards. Special Projects Provides program management for the Surgery Grand Rounds Course Director. Advises faculty on updating CVs. QUALIFICATIONS: Bachelor's degree strongly preferred. Master’s degree in a related field preferred. Minimum of 3-5 years related work experience and/or direct executive-level support preferred. SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: Excellent written, interpersonal, and oral communication skills. Self-motivated and able to function independently. High level of attention to detail. Outstanding organizational skills. High proficiency with Microsoft Office Suite. BWH is an Affirmative Action Employer.
