The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. UICOMP is a regional campus of the University of Illinois College of Medicine, a part of the University of Illinois Chicago and University of Illinois System. Position Summary This position administers pre-award and post-award for grants and clinical trials for the University of Illinois College of Medicine Peoria as part of the Division of Research Services. Knowledge of budgeting, reporting, and lifecycle of the funding process is crucial. This position work under administrative direction from the Director of Research Services with indirect reporting to the Director of the Center 4 Health Research.
Duties & Responsibilities
Pre-award administration: Collaborates with faculty to draft grant proposals, with a particular focus on the non-scientific components (e.g., facilities and resources, human subjects, budget justification, etc.) Interprets requirements and ensures that proposals meet all of the guidelines outlined by the sponsor and are completed in a timely manner. In conjunction with research teams, creates budgets for grant proposals that align with the proposed research and sponsor guidelines. Reviews proposal submissions with the Office of the Vice Chancellor for Research (OVCR) and makes modifications to proposal components to ensure contractual and compliance requirements are met. Primary liaison for study personnel and research offices from other institutions obtaining budgets, scopes of work, and other necessary documentation required for the submission of an award to a sponsor. Ensures accuracy and edits proposals prior to submission. Clinical trial agreements: Participates in the preparation of submissions of clinical trial agreements to the OVCR. Collaborates with key stakeholders, sponsors and local hospitals to prepare budgets for these trials. Post-award assistance: Ensures all contracts/agreements sent by sponsor are submitted for processing to the OVCR. Manages the budgets post-award, providing Investigators monthly financial status reports for a given sponsored project. Forecasts spending rates and cash flow. Assist with purchasing of supplies or other equipment that are part of the sponsored project's budget. Ensures that financial support is being used/transferred according to the budget, guidelines and regulations. Works with relevant Department admins to ensure they have an overview of this budget activity. Coordinates with the OVCR to provide sponsors with budget summaries at regular sponsor-requested intervals. Helps investigators prepare specialized reports for funders. Works with the OVCR and other universities/organizations to ensure subcontracts are put in place as applicable. Works with the OVCR to ensure that compliance requirements around human subjects and animal use are being met for a given project. Works with the OVCR to ensure final award closeout occurs timely. Maintains database of numbers of applications by department, and number of funded applications. Searches for research and programmatic funding opportunities and recommends them to investigators for whom these may be relevant. Maintains effective communication with departments, investigators, and funding agencies. Stays up to date on changes in federal funding guidelines. Assists in the development and review of departmental policies, procedures and processes. Assists with audit responses as requested. Perform other related duties and participate in special projects as assigned.
