Position Summary:
The Special Events Supervisor is responsible for the execution of all special events as well as the effective operation of the overall program. This position is primarily operations management, scheduling, training and supervision of staff during all events. The Special Events Supervisor is required to work a flexible work schedule including weekends and late nights.
Supervisory Responsibilities: Events Staff
- Schedules and supervises part-time staff to ensure adequate coverage, with the assistance of the Event Operations Senior Manager.
- Ensures staff perform tasks in a timely manner, and ensuring quality that will reflect on the success of the event.
- Assists in the recruitment and training of part-time staff.
- Should discipline or performance issues arise with employee, works with the Event Operations Senior Manager to ensure they are properly and quickly addressed.
Job Primary Responsibilities:
- Supervisor is the key Museum staff member during an event, ensuring the safety and security of all employees, visitors and contractors.
- Ensures that staff time is accurately documented and communicated to the Events Operations Senior Manager.
- Assists in accepting reservations, including credit card payments for special events.
- Assists in managing supply needs for special events; orders and maintains supplies as needed within budget constraints.
- Assists in maintaining reports of all special events as needed by the Events Operations Senior Manager, the Finance Department, and other museum staff.
- Assists in coordinating all planning, set-up, clean-up etc. for events including external, donated and internal events.
- Ensures museum and grounds are returned to pre-event condition and ensure any contractors fulfill contractual obligations.
- Assists the Events Operations Senior Manager in creating marketing programs to increase sales of special events.
- Responsible for assisting in reservations and bookings of special events when the Events Operations Senior Manager is absent.
- Responsible for processing and executing special events donated from the Museum.
- Ensures knowledge and preparedness to respond to issues that may arise relating to facilities, security, safety, staffing, catering, cleaning and contractors.
- Customer service interaction and customer service management issues and decisions including accident/incident reports before, after and during events.
- Works with Visitor Services management to cross train staff and allow for employee sharing within the department.
- Follows appropriate security measures.
- Follows and implements Museum policies and procedures.

Job Qualifications:
Education: Associate's Degree required. Bachelor's degree in related field preferred.
Experience: Events coordination and supervisory experience preferred.
Skills:
- Problem solving skills. Able to use sound judgment in determining scheduling and handling situations as occur in regard to staff and visitors.
- Excellent communication skills. Must communicate regularly with staff under direct supervision as well as with other Museum management to ensure an effective, safe operation of the Museum and its visitors.
Physical Requirements & Equipment Usage:
- Position requires Standing and walking about the museum floor on a regular, consistent basis to monitor staff and special events.
- Physical activity to prepare, set-up and clean up for events can be strenuous at times.
- Must be able to lift up to 20lbs regularly and up to 60lbs with assistance.

Work Environment, Hours of Work, and Travel Requirements:
- This position requires a work flexible schedule, weekend and nights availability.
- To perform this job successfully, an individual must be available for work every weekend and late nights and must be able to perform each essential duty satisfactorily.
- Duties will be performed in a museum environment, which includes interaction with the public and exposure to children and families.
Clearances:
- FBI fingerprint, PA Child Abuse History Certificate (Act 33) and PA State Criminal Record Check (Act 34) are required.
