General Responsibilities:
As an Office Manager at Bradford Evolve Health Services, plays a pivotal role in ensuring the smooth and efficient operation of our outpatient program. This position will encompass a wide range of administrative and clinical tasks, all aimed at providing exceptional care to our patients while maintaining compliance with regulatory standards.
Entry Level Qualifications:
• High school diploma or equivalent required;
• Previous experience in a healthcare setting, particularly in office management or administration.
• Strong understanding of State and Federal regulations governing healthcare services.
• Excellent communication, organizational, and interpersonal skills.
• Ability to multitask, prioritize, and work effectively in a fast-paced environment.
• Proficiency in office software applications and electronic medical records systems.
• Commitment to maintaining confidentiality and upholding ethical standards in patient care.
Essential Functions:
1. Appointment Management: Efficiently manage and coordinate appointments for the outpatient program, ensuring timely access to care for our patients.
2. Regulatory Compliance: Demonstrate a working knowledge of State and Federal regulatory agencies to uphold compliance standards in all aspects of service delivery.
3. Communication: Effectively communicate in English, both written and verbal, to interact with patients, providers, and external stakeholders.
4. Crisis Management: Implement crisis management and triage protocols to address emergent patient needs promptly and appropriately.
5. Clinical Documentation: Maintain accurate and compliant clinical documentation according to regulatory standards, ensuring confidentiality and integrity of patient information.
6. Patient Care Coordination: Assess patient needs, coordinate and monitor their use of services, and facilitate referrals to outside services as necessary.
7. Interpersonal Skills: Establish and maintain therapeutic relationships with patients, demonstrating outstanding communication and interpersonal skills.
8. Team Collaboration: Function as a clinical team member, integrating core values and collaborating with colleagues to deliver high-quality care.
9. Organizational Management: Demonstrate outstanding organizational skills to manage both clinical and administrative tasks effectively.
10. Staff Supervision: Clearly communicate job expectations and provide support to subordinate staff, addressing performance issues when necessary.
11. Quality Assurance: Consistently display an understanding of and commitment to providing service, treatment, and care at the highest level.
12. Resource Management: Order and maintain office supplies necessary for clinician compliance with regulations and ensure a clean, HIPAA-compliant workplace environment.
13. Appointment Coordination: Ensure providers can see clients in a timely manner, verify client eligibility, and communicate any concerns with providers.
14. Patient Support: Facilitate communication between patients and providers, schedule appointments, and coordinate care with outside providers to ensure continuity and accuracy of information.
15. Pharmacy Coordination: Work with pharmacies to ensure patients receive prescribed medications as needed.
16. Insurance Compliance: Gather and collect information on new admissions to ensure compliance with insurance benefits, particularly Ambetter UR information for new Ambetter admissions.
