We are seeking a proactive, highly organized Office Manager to support our team and ensure smooth day-to-day operations. In this role, you will manage executive calendars, coordinate meetings and events, handle administrative tasks, and maintain an efficient and well-run office environment. The ideal candidate will be adept at multitasking, comfortable in a fast-paced setting, and confident using modern technology and productivity tools.

Key Responsibilities:

  • Calendar and Meeting Coordination: Efficiently manage and maintain executive and department calendars, schedule appointments, and proactively address scheduling conflicts.
  • Event Planning and Logistics: Plan and execute company events, team meetings, client visits, and internal trainings. Handle venue reservations, catering, travel arrangements, and any necessary follow-up.
  • Office Administration: Oversee the daily operations of the office, including ordering supplies, managing office equipment, and ensuring a clean, organized workspace.
  • Communications and Correspondence: Serve as a point of contact for incoming calls and inquiries. Draft, review, and edit business communications as needed.
  • Vendor Management: Liaise with external vendors, building management, and service providers to ensure timely delivery and maintenance of office-related needs.
  • Support for Leadership: Provide general administrative support for the executive team, including document preparation, travel coordination, and special project assistance.
  • Technology and Tools: Utilize various software tools and platforms for scheduling, project management, and communication. Train staff on office systems when needed.
  • Continuous Improvement: Identify areas of improvement within the office environment or administrative processes and propose actionable solutions.

Requirements

Proven experience as an Office Manager, Executive Assistant, or similar administrative role in a fast-paced environment

Exceptional organizational and time management skills

Strong written and verbal communication abilities

Proficiency with technology tools, including calendars, email clients, project management software, and online collaboration platforms

Ability to manage multiple priorities with attention to detail and follow-through

Proactive, adaptable, and resourceful mindset

Bachelor’s degree or equivalent experience preferred
