Position Summary:
The Office Associate is a highly dynamic customer service-focused role with strong organizational and time management skills to support the day-to-day facility and office operations. The ideal candidate should be able to adapt to changing priorities involving administrative support, event coordination, inventory management, shipping and receiving, and logistics within a regulated pharmaceutical setting. This role will involve supporting the Facilities department to ensure smooth operations across multiple areas such as front desk, shipping & receiving, café, inventory management, vendor relations, and general maintenance of the office.
Essential Job Functions and Responsibilities:
These may include but are not limited to:
- Provide front desk support by greeting visitors, checking in guests, and notifying team members. Print name badges and register guests prior to entering the building. Check mail and messages and distribute accordingly.
- Serve as support to Shipping/ Receiving by carefully accepting packages and processing receipt of packages.
- Assist with daily office operations and administrative tasks, including filing, data entry, and document management.
- Greet visitors, answer phones, and respond to inquiries, providing excellent customer service and support.
- Assist with booking conference rooms or desks for team members, and scheduling meetings.
- Monitor and maintain kitchen appliances and inventory of cafe and work with Office Manager to order supplies as needed. Help maintain the organization and cleanliness of cafes.
- Assist with distribution of internal and external communications, including memos, emails, and flyers.
- Support various projects by conducting research, compiling data, maintaining documents, and assisting in project coordination.
- Work closely with other team members to ensure smooth operations and effective communication.
- Monitor and maintain office equipment and supplies and work with Office Manager to order as needed. Maintain a well-organized supply area. Coordinate with janitorial staff to ensure cleanliness throughout the facility.
- Assist with meeting room set up and break down. Support meeting room/ event needs.
Required:
High school diploma or equivalent; associate degree in business administration, life sciences, or related field preferred with 4 years' experience in an office environment or administrative role in a regulated environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (printers, copiers).
- Strong verbal and written communication skills for effective interaction with colleagues, clients, and vendors.
- Excellent organizational abilities to manage multiple tasks and responsibilities simultaneously and prioritize effectively.
- Ability to work collaboratively in a team environment and build positive relationships.
- Professional demeanor and experience providing excellent customer service in a fast-paced setting.
Physical Demands and Work Environment:
Physical Activities: On a continuous basis, sit at desk for a long period of time; intermittently answer telephone and write or use a keyboard to communicate through written means. Some walking and lifting up to 25 lbs. may be required. The noise level in the work environment is typically low to moderate. The physical demands described above are representative of those that must be met by an employee to successfully perform the essential functions and responsibilities of this job. Laboratory Activities (if applicable): Biology and chemical laboratory environment experience needed. Environmental health and safety requirements also apply.
Travel:
You may be required to travel for up to 5% of your time.
The Anticipated Base Salary Range: $30.38-$37.98

The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience and education.
