Well known CPA firm in Wilmington, De is seeking an Administrative Assistant

Part time, 20-40 hours per week.

We are seeking a highly organized and detail-oriented Administrative Assistant to join our clients team, who is a well respected, stable public accounting firm. In this role, you will provide essential administrative support to their accounting and tax professionals, ensuring the smooth operation of their office.

Responsibilities:

  • Client Services:
    • Assist with client intake and onboarding processes.
    • Maintain accurate and up-to-date client records.
    • Schedule client appointments and meetings.
    • Prepare client correspondence, reports, and other documents as needed.
  • Office Management:
    • Manage office supplies and inventory.
    • Maintain a clean and organized office environment.
    • Handle incoming and outgoing mail and packages.
    • Coordinate office equipment maintenance and repairs.
  • Administrative Support:
    • Answer and direct phone calls.
    • Greet and assist visitors to the office.
    • Manage calendars and schedule meetings.
    • Assist with travel arrangements and expense reports.
    • Prepare presentations and other materials for meetings.
  • Data Entry and Recordkeeping:
    • Input and update client data into our accounting software.
    • Maintain accurate financial records and files.
    • Prepare and process invoices and payments.
  • Other Duties:
    • Perform ad-hoc tasks as assigned.

Qualifications:

  • High school diploma or equivalent.
  • 2+ years of administrative or office experience, preferably in a professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and accuracy.
  • Ability to multitask and prioritize tasks.
  • Positive attitude and team player.
