We are seeking a Sr. Administrative Assistant to join our team in Houston, Texas. The role involves managing calendars, overseeing budget management, and handling vendor relations, among other duties. This opportunity offers a contract to permanent employment situation.
Responsibilities:
• Efficiently handle the scheduling and preparation of documents
• Manage confidential information with discretion
• Provide support to the C-Suite level
• Oversee budget management to ensure cost-effectiveness
• Handle vendor relations, maintaining a detail oriented and positive relationship
• Resolve internal and external queries promptly
• Use Concur and CRM systems for various administrative tasks
• Manage heavy catering requirements for office events and meetings
• Use communication skills to arrange conference calls and prepare PowerPoint presentations
• Maintain an organized calendar, managing all appointments and meetings effectively.• Proven experience in a senior administrative role or similar position.
• Proficiency in office software such as Microsoft Office, with particular emphasis on Concur and CRM systems.
• Exceptional organizational skills, with expertise in calendar management and scheduling for top-level executives.
• Excellent communication skills, both written and verbal, to liaise with team members and external stakeholders.
• Experience in coordinating and arranging conference calls, including the management of all related logistics.
• Ability to handle confidential information, demonstrating a high level of discretion and integrity.
• Experience in preparing and managing expense reports, with an emphasis on accuracy and timeliness.
• Ability to coordinate catering and other logistics for meetings and events.
• Demonstrated ability to work effectively with colleagues at all levels, including top-level executives.
• Strong problem-solving skills, with an ability to think quickly and perform well in a fast-paced setting.
