Overview
Now Hiring! Administrative Assistant
Location: Manhattan, NY.
Salary: 35/hr.
Job Summary: Our client has an immediate need for an administrative assistant to join their team! In this role, you will be responsible for distributing mail, documents, and emails to appropriate personnel throughout the office. The administrative assistant handles policy cancellations and reinstatements by pulling these notices from carrier portals and relaying the information to account executives/producers. The administrative assistant handles other logistical tasks as needed and as directed.

What You’ll Do:
Document Distribution/Downloads
- Sorts, scans, and distributes USPS mail to account executives, claims personnel, accounting personnel, etc. on Mondays & Fridays via AMS e-docs (and direct e-mail as needed)
- Distributes Global Mailroom emails and documents to account executives, claims personnel, accounting personnel, etc. every day via AMS e-docs (and direct e-mail as needed)
- Distributes faxes sent to personnels’ email via AMS e-docs
- Assigns daily policy and accounting downloads in AMS
Cancellations & Reinstatements
- Downloads cancellations and reinstatements (as well as intents to cancel/rescission notices) from carrier portals (e.g., Traveler’s, Hartford, Hanover, Cincinnati, National General, etc.)
- Sends account executives/producers cancellation notices, highlighting cancellation effective day, reason for cancellation, and amount of money due if for non-payment of premium.
- Continues to check carrier portals and make phone calls to carriers every day to check payment status of policies on cancellation notice.
- Follows up on cancellation notices with account executives/producers a few days before cancellation effective date
- Logs all cancellation/reinstatement notices, as well as correspondence with account executives/producers, in AMS activity with suspense.
Miscellaneous
- Assists with technology malfunctions on Mondays and Fridays when you are the only one in office (i.e., rebooting computers/monitors as needed)
What You’ll Need:
- High school diploma or equivalent, associate’s degree a plus
- Excellent verbal and written communication skills, with strong problem-solving abilities, attention to detail, and organizational skills.
- Past administrative experience or tenure in an office setting a plus
- Working knowledge of Microsoft Excel and Adobe Acrobat.
- Knowledge of agency management software AMS360 is a plus.
- Physical demands: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
