You will be responsible for a range of tasks from managing schedules handling documents, communication with clients, assisting management in various of task and playing a crucial role in the daily employee operations of the business.

Key Responsibilities
- Answer incoming phone and making outgoing calls
- Schedule appointments
- Following up on leads
- Review Google calls
- Manage time sheets
- Following up with field technician to ensure paperwork for week was submitted
- Assist with collections as needed
- Write emails, memos, and letters and distribute them appropriately
- Create and draft clear, comprehensive office procedures that streamline workflows, enhance productivity, and ensure consistency across departments.
- Maintain and update records, files, and databases to ensure accuracy and easy access.
- Updating and maintaining invoice platforms and billing as needed
- Account receivable as needed
- Fleet Management
- Preparing Saturday and Monday coverage for field technicians and office staff Communicate with team members to confirm availability and relay schedule details. Make any necessary adjustments to coverage as changes arise, ensuring minimal disruption to operations.
- HR duties Employee Compliance: Ensure that all employees adhere to company policies, procedures, and relevant legal regulations. Maintain up-to-date records to verify compliance with labor laws and workplace safety standards. Review and assess resumes of job applicants to identify qualified candidates. including scheduling and coordinating interviews. Onboarding and Orientation: Oversee the onboarding process for new hires, including orientation sessions and completion of necessary paperwork.
Qualifications
- High school diploma/GED required, associates degree or administrative training is preferred
- Previous experience as an Administrative Assistant or in a similar position
- Familiarity with standard office equipment such as printers and fax machines
- Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
- Highly organized with excellent time management skills and the ability to prioritize projects
Working Conditions:
- Work schedule: Monday- Friday with occasional Saturdays
- Office environment
