Position Summary

The Human Resources Specialist aids with and facilitates the human resource processes at all business locations. This role administers employee health and welfare plans and acts as liaison between employees and insurance providers. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations. The Human Resources Specialist ensures that plans are administered in accordance with federal and state regulations and that plan provisions are followed. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance, and HRIS entry.

Essential Duties and Responsibilities

  1. Administers health and welfare plans, including enrollments, changes, and terminations.
  2. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
  3. Works with Accounts Payable to process benefit billing and reconciliation.
  4. Experience with HRIS implementation and business analytics.
  5. Performs customer service functions by answering employee requests and questions.
  6. Completes Forms I-9, verifies I-9 documentation, and maintains I-9 files.
  7. Submits online investigation requests and assists with new-employee background checks.
  8. Reconciles benefits statements.
  9. Responsible for day-to-day tasks such as triaging general HR inbox, incoming calls, and in-person visits to the HR department.
  10. Conducts audits of payroll, benefits, and other HR programs, including generating reports, analyzing data, and making recommendations for improvements.
  11. Verifies employee licenses and certifications to ensure compliance with company policies and regulatory requirements, including tracking expiration dates and coordinating renewals as needed.
  12. Assists with maintenance and printing of badges for the workforce.
  13. Administers employee terminations by entering information into the HRIS system, submitting necessary tickets, and coordinating with payroll to finalize the termination process.
  14. Assists with the preparation of the performance review process.
  15. Assists with recruitment and interview process, tracking status of candidates in HRIS and responding with follow-up letters at the end of the recruiting process.
  16. Manages calendar and schedules meetings and interviews as requested by the CHRO.
  17. Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
  18. Files documents into appropriate employee files, ensuring accurate and up-to-date employee records are maintained.
  19. Assists or prepares correspondence as requested.
  20. Prepares new-employee files.
  21. Maintains the HRIS and ensures the accuracy of data.
  22. Follows Hospital and Department policies and procedures at all times, including but not limited to: Administrative Manual, Environment of Care, Human Resources, Infection Control, Corporate Compliance, Code of Ethics, etc.
  23. Attends, actively participates, and completes in-services, training classes, mandatory classes, seminars/workshops, staff meetings, exercises, and drills; reads all department communication and assigned materials.
  24. Provides excellent customer service and shows compassion to all patients, visitors, and co-workers. Seeks feedback to ensure all needs are met.
  25. Keeps manager and team informed of progress, problems, development, and plans. Gets along and interacts positively with co-workers and others.
  26. Performs other related duties as assigned.

Qualifications

High School Diploma or GED preferred.
At least two years related experience required.
UKG experience preferred.
Intermediate or higher level of MS Word, Excel & PowerPoint.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Working understanding of human resource principles, practices, and procedures.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a fast-paced and at times stressful environment.
Proficient with Microsoft Office Suite or related software.

Physical Requirements

While performing the duties of this job, staff is regularly required to sit, stand, walk, talk, and/or listen. He/she uses his/her hands to do computer work, write reports, do equipment set-up/cleaning/storage, clerical support, etc. He/she will be using the phone frequently. Good vision is needed to be able to read schedules, enter accurate data, etc. He/she must have good general health and demonstrate emotional stability so as to carry out the above-enumerated duties.

  • Able to lift up to 30 pounds.
  • Stand, walk, and move 50% of the day.
  • Use proper body mechanics when handling equipment.

Compliance Requirements

Complies with Chinese Hospital Compliance Handbook including Code of Ethics and all statutes, regulations, guidelines applicable to federal and state programs. Responsibilities include following the guidelines and reporting suspected violations of any statute, regulations, agreements, or guidelines applicable to all healthcare programs.

Base Pay Scale

Starting at $27.89 – $36.39 per hour. The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training. This pay scale is not a promise of a particular wage.
