We are in the process of recruiting an Executive Assistant to join our team based in Wilmington, Delaware. The successful candidate will be expected to provide high-level administrative support, primarily to the CEO/President. This role involves a variety of tasks such as managing communications, scheduling appointments, and handling confidential information.
Responsibilities:
• Efficiently and accurately process customer credit applications
• Provide superior written and verbal communication to interact effectively with businesses, executives, non-profit organizations, and staff
• Manage and track service companies visiting the property, ensuring the CEO/President is constantly updated on the purposes and outcomes of the visits
• Assist in organizing special projects such as website design, public relations articles, advertising materials, and auction donations
• Handle incoming and outgoing calls, and manage all communication to and from the CEO/President, including emails and letters
• Maintain an organized and efficient office environment, which includes ordering supplies, ensuring the proper functioning of all office equipment, and managing an organized filing system
• Schedule and coordinate appointments for the CEO/President, and make or coordinate travel arrangements as required
• Take dictation, draft, and proofread executive-level letters, documents, and outgoing correspondence
• Handle extremely confidential information discreetly
• Make purchases on behalf of the CEO/President as directed
• Maintain accurate customer credit records and monitor customer accounts to take appropriate action when needed.

• Minimum of 5 years' experience in an Executive Assistant role
• Proficiency in Account Reconciliation
• Excellent Data Entry skills
• Proficient in Microsoft Excel
• Experience with Oracle software
• Familiarity with QuickBooks
• Knowledge of SAP software
• Ability to perform Dictation tasks
