Job Description
Ultimate Staffing is seeking experienced and driven Executive Assistants for opportunities in the Northern Virginia area! We are looking for an initiative-taking, detail-oriented professional to provide a high level of administrative support to a team of senior executives. You will play a vital part in supporting various projects and programs.
Responsibilities
- Provide comprehensive administrative support to leadership team including the management of their travel, expense, calendars, meeting and call scheduling, document preparation, and outgoing communications
- Partner with leaders to develop and schedule meetings, trainings, and activities, such as in-person meetings, and semi-annual meetings
- Attend meetings, take detailed notes, and prepare initial drafts of minutes and summaries
- Lend administrative support to special marketing projects and programs including in-house training, new market research, reoccurring marketing meetings, tracking financials for new market sector projects and other various administrative tasks
- Build strong working relationships with other administrative staff and senior leaders
Qualifications
- High school diploma and a minimum of 5 or more years of relevant experience supporting a senior executive team
- Excellent written and verbal communication skills and an ability to build working relationships at all levels of the organization
- Proficiency Microsoft Office Suite, including Word, Excel, PowerPoint, OneNote, and Outlook
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- An aptitude for learning new software and systems, and the ability to thrive in a fast-paced work environment
- Strong attention to detail
- Ability to work independently and collaboratively as part of a team
- Problem-solving mindset, with a resourceful can-do attitude
- Flexible team player, willing to adapt to changes
