Summary:
The executive assistant position supports the Executive Director in all facets of their role. This position provides administrative and clerical support which includes, but is not limited to, keeping calendars, scheduling meetings, making travel arrangements, maintaining correspondence, and assistance with projects, as needed.This position will also serve as administrative support to the Board of Directors to include attending meetings and taking minutes. This position will provide support regarding international relations and relations with the World Boxing Federation.
Duties & Responsibilities:
Prepare and/or edit correspondence for the executive director. Work closely with the administrative assistant to coordinate all correspondence needs, including international administrative assistant correspondence Book travel and hotel and keep track of schedules for the executive director and Board members, as needed Manage the executive director's calendar, anticipating needs and prioritizing meetings, as needed under the executive director's direction Coordinate meetings for executive director, leadership, and general USAB staff meetings in coordination with the administrative assistant Maintain USAB online and office filing systems - work closely with the administrative assistant to streamline and organize systems Field telephone calls and emails for the executive director, providing excellent customer service and assisting the executive director in responding with appropriate solutions to inquiries. work closely with the Executive Director to strategize key priorities in meetings, schedules, and staff messaging Assist the Board of Directors with scheduling meetings, travel and producing meeting minutes In conjunction with the administrative assistant, Manage the office space including, but not limited to, ordering supplies, coordinating with vendors on maintenance and custodial needs, and ensuring the USAB areas within the building are stocked, secured, and maintained on a daily basis Travel both domestically and internationally at the Executive Director's bequest. Engage in international relations with the World Boxing Federation. Coordinate with the international administrative assistant to ensure international travel needs (booking, lodging, meetings, calendars, etc.) are met Ensure boxing glove certification labels are processed correctly Reconciles credit card purchases in compliance with finance policies and procedures for executive director, board of directors, or executive leadership, as requested Qualifications
Education
Minimum: High school diploma with some college coursework Preferred: 2 - or 4-year college degree Experience
At least 4 to 7 years of previous administrative/clerical/receptionist work experience required Preferred: administrative support to CEO/Executive Level Skills and Competencies Required
Excellent computer skills to include Microsoft Office products (Word, Excel, PowerPoint), Outlook, and Internet Excellent customer service skills to include strong written and verbal communication as well as phone etiquette Strong organizational skills and attention to detail; proofreading skills Ability to speak and write fluently in English with minimal errors in spelling and grammar Ability to compose business correspondence, manage online calendar(s), and review/summarize professional contracts Strong work ethic and the ability to work independently Ability to operate standard office equipment: multi-line telephone, scanner/copier, postal machine, and other equipment
