About the Executive Assistant Position
As an Executive Assistant, the primary role is to provide administrative support to two to three Executives. This requires an understanding of the dynamics of the organization, the functional areas they support, and the use of that knowledge to influence the activities of the departments in a manner that improves efficiency and function. As an Executive Assistant, the primary role is to provide administrative support to two to three Executives. - Perform a variety of administrative duties to increase Executive(s) effectiveness.
- Provide support for the leadership team of Executive(s), as required.
- Back up to the other executive assistants when out.
- Proactively prepare reports, presentations, correspondence, and other documents as needed.
- Coordinate and prepare agendas, materials, pre-reads, and meeting minutes for functional area meetings and other meetings as requested.
- Prepare Detail Tracking Numbers (DTN's), purchase order requisitions and Authorizations for Expenditures (AFE's).
- Work directly with Legal and Procurement Teams in processing NDAs and Vendor Set up.
- Review/Coordinate/Manage cost center budgeting (forecasting and actuals) for leaders as needed.
- Receive and screen telephone calls and visitors as directed. Serve as the primary point of contact for the leader(s).
- Develop and maintain secure files (both electronic and hard copy).
- Manage confidential information data/information as appropriate.
- Assists with the orientation and integration of new employees including purchasing and shipping PPE, ordering company credit cards, and providing training to new team members on critical administrative functions such as timekeeping and credit card processing.
- Manage expense reports, travel, and other delegated processes as appropriate.
- Maintain the calendar and schedule to maximize efficiency and availability of leader(s).
- Schedule, plan, and coordinate meetings, conferences, and events, to include off-site team meetings, including overnight meetings. Works closely with the Travel Coordinator.
- Perform general office duties such as ordering supplies, maintaining records management systems, and sending and receiving shipments/packages.
- Provide support to other members of the leadership team and peers as needed.
- Develop and maintain good communications with internal and external customers and team members.
- Foster a productive, team-oriented environment with a display of commitment to teamwork in daily activities.
- Manage special projects/tasks as assigned.
What You Bring to the Table:
- High School Diploma or General Education Diploma (GED) from an accredited education intuition.
- Proven work experience as an Administrative Assistant, Executive Assistant, or similar role.
- Valid Driver's License with reliable transportation to conducts offsite errands, including shopping and last-minute needs.
- Gift of being highly flexible, adaptable, and resourceful.
- Strong interpersonal skills to include strong customer focus and the ability to fosters a productive, team-oriented environment by displaying a commitment in daily activities with diverse groups of people.
- Ability to efficiently and effectively, communicate with others verbally and in writing.
- Computer skills with MS Office including Word, Excel, PowerPoint, and Outlook.
