KIKI Wolrd | Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to support the Co-Founder of our rapidly growing social commerce software company. The ideal candidate will be an exceptional multitasker with strong communication skills and the ability to thrive in a fast-paced environment.


Key Responsibilities


Administrative Support

  • Manage the Executive's calendar, including scheduling meetings, appointments, and travel arrangements
  • Handle incoming requests, emails, and correspondence, prioritizing and responding as appropriate
  • Prepare and edit documents, presentations, and reports
  • Organize and maintain admin systems

Office Management

  • Coordinate office operations and procedures to ensure efficiency
  • Manage office supplies and equipment
  • Assist with onboarding new employees and maintaining employee records
  • Plan and organize company events and team-building activities

Project Coordination

  • Assist in the preparation and follow-up of executive and board meetings
  • Track and manage action items from meetings and projects
  • Conduct research and prepare briefing materials for the Executive

Travel Management

  • Arrange complex domestic and international travel itineraries
  • Prepare expense reports and process reimbursements

Liaison

  • Act as a liaison between the Executive and internal departments, external partners, and clients
  • Represent the Executive in meetings when appropriate


Qualifications
  • Bachelor's degree in Business Administration or related field
  • 3+ years of experience as an Executive Assistant, preferably in a fast-paced startup environment
  • Exceptional organizational and time management skills
  • Strong verbal and written communication abilities
  • Proficiency in Google Workspace
  • Experience with project management tools (e.g., Asana, Trello, or Jira)
  • Ability to maintain confidentiality and exercise discretion
Desired Skills
  • Knowledge of the software industry and e-commerce landscape
  • Experience in a high-growth technology startup
  • Familiarity with basic financial and accounting principles
