Key Responsibilities:
Administrative Support
- Proficient in following up on CEO emails, managing Outlook calendars, organizing meetings, taking minutes, and organizing through Asana.
- Prepare and review correspondence, proofreading, reports, presentations for board meetings, and other documents.
- Screen and direct communications (emails, calls, etc.) on behalf of the CEO.
- Coordinate and manage board meetings, including agenda preparation, minute-taking, and follow-ups.
- Create board packets and meet tight deadlines.
- Assist with holiday wrapping, organizing, and wrapping gifts.
Operational Support
- Act as the main point of contact between the CEO and internal/external stakeholders.
- Research and compile information for projects, presentations, and decision-making.
- Track key deadlines, deliverables, and follow-ups for the CEO.
- Oversee confidential and sensitive information with discretion and professionalism.
Strategic Involvement
- Support the CEO in strategic initiatives, including drafting proposals, reports, and presentations.
- Assist in tracking the progress of business objectives and KPIs.
- Anticipate the needs of the CEO and provide solutions proactively.
Relationship Management
- Foster positive relationships with clients, board members, and stakeholders on behalf of the CEO.
- Represent the CEO's office professionally in all interactions.
Qualifications and Skills:
Education & Experience
- Bachelor's degree in Business Administration, Finance, or related field (preferred).
- Proven experience as an Executive Assistant, preferably in banking, finance, or a similar industry.
- Experience working with C-suite executives and managing complex schedules.
Skills & Competencies
- Exceptional organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaboration tools like Asana.
- Strong attention to detail and ability to handle multiple tasks simultaneously.
- High level of discretion and ability to maintain confidentiality.
- Strong problem-solving and decision-making abilities.
- Ability to work independently and adapt to changing priorities.
