This is a fast-paced, Executive Assistant position with CCFBank, a successful financial institution with locations throughout Wisconsin and Minnesota. We are looking for a committed individual with excellent organization and attention to detail to support our Board of Directors, Executive and Senior Management teams with good judgement, discretion and tact.

As an Executive assistant, you will be responsible for providing advanced administrative support to the Board of Directors, executive, and senior management including, but not limited to answering the telephone; gathering data and compiling various reports for management; conducting projects and assignments; maintaining files; and issuing correspondence. The position of Executive Assistant requires involvement with high-level contacts and exposure to sensitive information requiring considerable use of tact, diplomacy, discretion, and judgment. The ideal candidate has the ability to provide strong administrative support, works well in a team environment, and has excellent communication skills. Primary Responsibilities:

Board and Board Committee Support
  • Gathers and coordinates data for Holding Company and Bank Board of Directors and other Board of Director committee meetings; prepares agendas and minutes; organizes special meetings and events; maintains attendance records; and prepares and distributes meeting materials in advance of the meetings. Occasionally will be required to coordinate travel plans.

Chief Executive Officer and Chief Financial Officer Support
  • Schedules appointments and/or tasks as necessary including coordination of the Company's investor relations outreach; coordinates travel plans; assembles documents, reports, or other information as required for meeting preparation; prepares agendas and minutes; organizes special meetings and events; maintains attendance records; and prepares and distributes meeting materials in advance of the meetings
  • Drafts, reviews, and sends communications on behalf of Company executives.
  • Maintains regulatory correspondence as necessary and/or required and ensures accurate and timely transmission of regulatory correspondence.
  • Participates in special projects and tasks of a diverse nature as directed.
  • Screens and prioritizes incoming messages, calls, and meeting requests.

Senior Management Support
  • Gathers and coordinates data for management committee meetings; prepares agendas and minutes; organizes special meetings and events; prepares and distributes meeting materials in advance of the meetings.
  • Gathers and calculates data from a variety of sources to produce administrative reports for management; ensures reports are accurate, relevant, complete, and prepared on schedule.
  • Ensures appointment or meeting participants are informed of date and time; explains management's requirements and instructions to others as directed for meeting preparation.
  • Answers telephones, determines priorities of inquiries and problems received from both internal and external sources, takes messages or provides answers and information, refers problems to appropriate individuals, and ensures answers or information is received by inquiring party.

Executive Administration
  • Performs a wide range of administrative duties; composes, edits, and proofreads correspondence to ensure accuracy for supervisor's signature; sets up and maintains files; attends meetings and prepares and distributes meeting minutes.
  • Coordinates the review of Company policies by executive management, management committees, Board Committees, and Board of Directors.
  • Establishes, maintains and revises filing and record keeping systems of all corporate documentation, sorts and files correspondence, articles, records, and other documentation

  • Complies with all Bank policies, procedures and processes, and all applicable state and federal banking laws, rules and regulations; adheres to Bank Secrecy Act (BSA) responsibilities that are specific to the position.
  • Maintains high level of confidentiality with discretion.
  • Performs other duties as assigned.


Education and Experience
  • Bachelor's Degree in administration, business, or related field.
  • Substitution: 3 years of directly related full-time experience of the functions outlined above may be considered in lieu of the degree.
  • At least five (5) years of related experience working in an executive assistant role supporting Executive Management and/or Board of Directors.

Desired Education and/or Experience Requirements
  • Experience working in a publicly traded organization and/or knowledge of the record keeping regulations surrounding banking.
  • Certified Administrative Professional (CAP) or similar certification preferred.
  • Has a strong business sense and can decipher priorities and make sound judgment calls when needed.
  • Perform duties at the highest level possible on a consistent basis.
  • Proficient in MS Office and Adobe.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
