About the Position:

STEM School is seeking a dedicated and highly organized Executive Assistant to support our Chief Innovation Officer. This key role requires a proactive individual who can manage a variety of administrative and strategic tasks, ensuring the CIO's time and efforts are focused on the school's mission and strategic initiatives. The Executive Assistant will serve as a critical partner in executing the school's strategic plan, supporting advancement initiatives, advancing board committee work, and managing routine executive administrative responsibilities.

Key Responsibilities:

CIO Administrative Support:

  • Manage the CIO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Draft, edit, and proofread correspondence, presentations, and reports on behalf of the CIO.
  • Serve as a liaison between the CIO and internal/external stakeholders.
  • Handle confidential and sensitive information with the utmost discretion.

Board and Committee Support:

  • Prepare and distribute agendas, minutes, and materials for board and committee meetings.
  • Coordinate meeting logistics, including scheduling, venue arrangements, and technology setup.
  • Maintain accurate records and ensure compliance with governance policies.

Strategic Plan Coordination:

  • Assist with tracking and reporting on the implementation of the school's strategic initiatives.
  • Coordinate communication and collaboration between departments to ensure alignment with strategic goals.

Advancement and Development Initiatives:

  • Assist in managing work related to new schools, programs and projects
  • Provide administrative support for fundraising and donor engagement activities.
  • Help coordinate events, campaigns, and outreach efforts to strengthen community and stakeholder relationships.
  • Maintain and update donor and partner databases as needed.

General Executive Assistant Tasks:

  • Manage incoming and outgoing communications for the CIO.
  • Organize and maintain physical and digital filing systems.
  • Perform other duties as assigned to support the CIO and leadership team.

Brand Adherence and Marketing Oversight:

  • Ensure all communications and materials align with the school's branding guidelines.
  • Collaborate with marketing and communications teams to review and approve content.
  • Assist in coordinating marketing campaigns and school-wide branding initiatives.
  • Monitor external communications for consistency in messaging and tone.

Qualifications:

  • Bachelor's degree preferred; equivalent work experience considered.
  • Proven experience as an Executive Assistant or in a similar role, preferably in an educational or nonprofit setting.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • High level of proficiency with Microsoft Office Suite, Google Workspace, and other productivity tools.
  • Ability to work independently, handle multiple priorities, and meet deadlines.
  • Discretion and integrity when handling sensitive information.

Schedule:

  • Day shift
  • Monday to Friday
  • 260 Work days per school year

The pay range for this role is:

60,000 - 90,000 USD per year (Main)
